We are seeking a highly organized and proactive Executive Assistant to provide a high level of comprehensive administrative support to the EVP and the Executive Team, managing the organization’s office operations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

Overall Responsibilities:

  • Manage and maintain executive calendars using Microsoft Outlook Calendar, scheduling meetings, appointments, and events with precision.
  • Coordinate and assist in planning company events, meetings, and conferences, handling logistics and vendor communications.
  • Provide executive administrative support including handling confidential information, drafting correspondence, and proofreading documents.
  • Oversee office management duties such as filing, data entry, and maintaining organized records.
  • Assist with project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks.
  • Deliver exceptional customer service at the front desk by greeting visitors and managing incoming correspondence.

Qualifications:

  • Proven experience as an Executive Assistant or in a similar administrative role with at least 3 years of office experience.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Outlook, and data entry tools.
  • Experience with event planning, project coordination, and office management is highly desirable.
  • Demonstrated organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Exceptional phone etiquette skills for handling multi-line phone systems professionally.
  • Knowledge of office procedures including filing systems, clerical tasks, proofreading documents, managing calendars efficiently, and handling confidential information.
  • Prior experience supporting executives or senior management is preferred; personal assistant experience is advantageous. This position offers an engaging work environment where organizational excellence and proactive support are valued highly. The successful candidate will play a vital role in ensuring the efficiency of daily operations while providing top-tier assistance to leadership teams.

Compensation:

  • Salary: $24.04 - $28.85/hour ($50,000.00 - $60,000.00/year)
