Responsibilities
- Be productive under tight timeframes, balance multiple priorities and maintain goal‑directed performance under stress.
- Assist the VR Supervisor with tracking and monitoring unit attendance and leave.
- Assist in organizing, coordinating and prioritizing unit activities.
- Assist in preparation of confidential personnel actions.
- Receive, track, and submit monthly reports as assigned.
- Process and track monthly travel submissions to Area Office.
- Conduct inventory and order supplies for the unit.
- Prepare and sign routine correspondence.
- Answer phones and file documents.
- Review closed files to ensure proper file order.
- Track transferred cases.
- Review, audit, and process authorizations for payment or cancellation.
- Work directly with customers to obtain and verify referral information.
- Verify customers’ employment status.
- Schedule and notify customers of appointments.
- Mentor support staff and conduct training both in the unit and/or outside when requested.
- Participate in teams or committees as assigned.
Minimum Requirements
- Three years of secretarial or clerical work experience, or possession of a Certified Professional Secretary Certificate.
- College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours per year of required experience.
- Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours per year of required experience.
- A high school diploma or its equivalent can substitute for one year of the required work experience.
- Gaps of employment of 3 months or more must be addressed on the application; all dates, addresses, and contact information must be current and listed in chronological order.
Background Screening Requirement
Applicants will undergo Level 2 employment screening in accordance with Florida Statutes Chapter 435. Selected candidates will receive a consent form, an affidavit of good moral character, and a notice of rights. Level 2 screening includes fingerprinting for statewide criminal and juvenile records checks, federal criminal records checks, and may include local checks. Employment will not commence until screening is completed and approved.
