Job Description – On-Call Coordinator Position Title: On-Call Coordinator Supervisor’s Title: Administrator Department: Health Services Exempt Status: Hourly

As the On-Call Coordinator, you are responsible for ensuring continuous staffing coverage and supporting daily operations during, and outside of, standard business hours. This role serves as the primary point of contact for scheduling needs, call‑outs, emergencies, and staff support, ensuring all shifts are staffed in alignment with company standards, regulatory requirements, and resident or client needs. On‑call duties are incentivized at a fixed daily rate in addition to the employee’s standard hourly wage when working in community.

Responsibilities

Receive staffing‑related calls and arrange coverage for any call‑outs or gaps in the schedule, with frequency determined by the Administrator.

Ensure daily staffing ratios meet company standards and state regulatory requirements.

When a staff call‑out occurs, arrange coverage, fill the shift personally, or utilize available care team members to keep the shift appropriately staffed.

If coverage cannot be secured, agree to work the shift.

Listen to staff concerns regarding residents and direct them to the Nurse or Administrator when needed.

Monitor employee attendance and enforce The Springs’ attendance policies and procedures.

Assist in coaching and counseling employees about behavioral or attendance concerns.

Maintain the staffing phone 24/5 to ensure all calls and messages are answered promptly.

Ensure proper training for both caregivers and medication technicians.

Communicate closely with the RSC/MCC and the Health Services Administrator in case of a coverage lapse where the On‑Call Coordinator is already scheduled.

Conduct a weekly check‑in with the Staff Development Coordinator to review upcoming scheduling needs and identify potential coverage gaps.

Additional Functions Staffing & Scheduling

Respond promptly to staffing call‑outs, schedule gaps, and urgent coverage needs.

Ensure all shifts are staffed according to company policies, licensing requirements, and state regulations.

Contact available employees to fill open shifts using established procedures and communication methods.

Adjust schedules as needed to maintain proper staffing levels.

If coverage cannot be secured, the On‑Call Coordinator may be required to work the shift.

Communication & Support

Serve as the primary after‑hours contact for staff concerns, schedule questions, and urgent needs.

Escalate resident or client issues to the Nurse, Administrator, or appropriate personnel when necessary.

Maintain clear, professional communication with all team members.

Document call‑outs, attendance issues, and shift changes accurately.

Attendance & Compliance

Track and monitor employee attendance in accordance with company policy.

Report attendance concerns or repeated issues to management.

Ensure compliance with organizational staffing guidelines and state requirements.

Operational Duties

Maintain updated staffing lists, availability logs, and emergency contact information.

Assist with onboarding communication for new employees as needed.

Support operations by staying informed of daily staffing needs, high‑acuity situations, and scheduled absences.

Qualifications

Experience in scheduling, staffing coordination, healthcare administration, or a related field is preferred.

Strong communication and problem‑solving skills.

Ability to work independently, handle high‑pressure situations, and make fast decisions.

Reliable, professional, and able to maintain confidentiality.

Typical Physical Activity

Maintain the ability to lift 50 pounds; stand or walk throughout the majority of the work day; frequently push, pull, bend, twist, and reach.

Have sufficient manual dexterity to work with fingers and reach/handle items.

Walk throughout campus on a frequent basis for extended periods (up to five hours).

Perform non‑strenuous and strenuous daily activities.

Typical Environmental Conditions

May be exposed to biohazardous materials, including blood and body fluids, sharps, animal dander, and latex.

On‑call hours vary and may include evenings, weekends, and holidays.

Must have reliable phone access and the ability to respond promptly.

May require working a direct‑care shift when coverage is unavailable.
