The Role
We're looking for an Accounting Specialist who thrives on accuracy, values organization, and understands that behind every invoice and paycheck is a person or program making a real difference. This isn't just number-crunching—it's ensuring the accounting runs smoothly to move the mission and vision forward.
You'll be the backbone of the accounts payable and payroll operations, while also supporting grant billing, fixed asset management, and general accounting functions. What You'll Do
Accounts Payable—Your Primary Focus
Receiving, reviewing, and coding all accounts payable invoices to the correct general ledger accounts
Securing appropriate approvals and processing payments through weekly check runs
Maintaining organized AP filing systems that make audits and inquiries seamless
Preparing monthly benefit allocation spreadsheets that distribute costs accurately across programs and departments
Reconciling vendor statements monthly to ensure accounts remain current and relationships stay strong
Building and maintaining positive vendor relationships—because they're partners in our mission
Payroll Processing
Process bi-weekly payroll in ADP Workforce Now after manager approval of timecards
Manage employee-deducted retirement benefit payments
Maintain comprehensive payroll records and reporting
Save and organize quarterly tax reports
Handle all payroll information with absolute confidentiality
Work Program Administration
Verify hours reported on work program timesheets
Update semi-monthly spreadsheets reflecting current hours and payments
Calculate and prepare cash payments for program participants
Maintain individual client ledger sheets and resident savings balances
Fixed Asset Management
Maintain the fixed asset system with all additions and deletions
Process monthly depreciation journal entries
Reconcile fixed asset details to the general ledger
Maintain organized documentation of all asset acquisitions
Grant & Contract Billing
Prepare monthly nursing home billing
Track expenses specific to grant requirements
Prepare monthly and quarterly grant billings with supporting documentation
Maintain employee time trackers to ensure proper grant allocation
General Accounting Duties
Preparing weekly cash deposits
Creating and entering journal entries
Processing monthly storeroom charges
Managing the postage machine and tracking monthly postage expenses
Maintaining and processing monthly recurring journal entries
Providing backup reception and phone coverage as needed
Supporting other accounting tasks as assigned by the Finance Director
What You'll Bring
2+ years of accounts payable experience
Experience with payroll processing (ADP Workforce Now experience is a plus)
Proficiency with Microsoft Office and accounting software
Experience with accounting software
Exceptional attention to detail and strong organizational skills
Outstanding customer service orientation with excellent written and verbal communication
Ability to multitask effectively and maintain confidentiality
Comfort working with people from diverse backgrounds
Ability to pass a criminal background check
Physical ability to bend, stoop, and climb stairs as needed in our multi-level facility
What We Offer:
Salary Range: $47,000 - $51,000 annually
