Position Summary

The Senior Services Coordinator at Hastings Family Service is an energetic team member who plays an essential role in coordinating senior programs including the Meals on Wheels program for neighbors who may rely on those meals for nutrition, human connection and to maintain independence and stay in their homes. Oversees intake, record-keeping, billing, inventory, and provides ongoing training and encouragement for the dozens of volunteers who deliver the meals. The role requires a heart for helping our senior community, excellent attention to detail, the ability to learn and utilize technology, and strong collaboration as part of the HFS team to identify and meet emerging needs within our senior population.

Program areas and responsibilities

:

Coordinates the Meals on Wheels program

- The HFS Meals on Wheels (MOW) program is provided in partnership with Allina-Regina hospital where meals are prepared.

Recordkeeping and Client coordination •Respond to inquiries and enroll clients in MOW, often working with family members, caregivers and case workers to complete paperwork and set up the billing and payment processes •Keep customer info accurate and updated; maintain clear documentation of processes •Maintain daily meal counts and generate accurate monthly billing for waivered clients, Wellness plan recipients, and private-pay customers •Work with the Office Manager to reconcile on a monthly basis to make sure bills from the hospital reconcile with the meal count, payments being received for waivered meals are correct, and that all bills are being invoiced and paid in a timely way •Serve as the ServeTracker super-user, utilizing the software for the entry of accurate and complete data and using its routing functions and other capabilities to be nimble and efficient; Problem-solve technical issues and work with Metro Meals on Wheels (MMOW) for issue resolution and system support •Work with the Director of Programs to develop and comply with consistent policies and procedures, exploring additional funding options for individuals as needed

Assist and back up the MOW Assistant •Work closely with a Meals on Wheels assistant and volunteers who work on-site at the hospital doing the food prep, ensuring food safety and other essential kitchen-related tasks, backing up these tasks during scheduled time off for other staff •Work with the MOW assistant and hospital kitchen staff on meal planning and rotation to ensure variety and nutrition; frozen meals are also an option •Work with the team to identify potential efficiencies and implement solutions

Volunteers / Meal Delivery

•Organize routes and change as necessary to make routes approximately the same size, taking into account time for deliveries •Work with the HFS Volunteer Manager to ensure routes are covered; occasionally cover a route if there is a last-minute cancellation •Work with the HFS Volunteer Manager to provide a minimum of one training per year for all MOW volunteers as well as ongoing orientation and training for new volunteers •Recognize and encourage volunteer efforts

Coordinates the Market Cart program •Coordinate bi-monthly Market Cart fresh produce deliveries to senior living facilities, including communication, recordkeeping, and on-site distribution •Partner with the Food Shelf Manager to plan/place food orders for the Market Cart program •Assist in the coordination of NAPS (Nutrition Assistance Program for Seniors) •Other program duties as assigned

Enhances Services for Seniors •Work with the HFS programs team and the community to explore and offer exceptional services for seniors in response to emerging needs •Serve as the staff liaison with Metro MOW and Allina-Regina hospital and regularly collaborate with other MOW locations to share best practices, improve program efficiency, and identify opportunities for continuous improvement to meet and expand program growth •Represent HFS and senior programs in the community at events such as the senior expo and public safety night

Education and Experience

Education:

High school equivalent and 3+ years working in a nonprofit, senior services, and/or food service environment; 2-year degree preferred

Required Experience: Previous experience in nonprofits, senior services or working in food services Proficiency in Microsoft Word, Excel and Outlook as well as the ability to master new technologies like Volgistics for volunteers and ServTracker for MOW billing, routing and reports Experience working with the public with increasing levels of responsibility Knowledge of the Hastings area Must have a valid driver's license with a safe and clean driving record. Use of personal vehicle may be required at times.

Preferred Experience : •Experience working with volunteers (nearly 500 volunteers make HFS programs possible)

Pay range $19-$21/hr depending on experience. M-F schedule on site at HFS.
