Our Company is a fourth-generation, privately held real estate investment company based in San Mateo, California. The Company owns multi-family, light industrial, commercial, and office properties. Management of these properties is overseen by the Company's Asset Management Division. The Company presently operates in nine distinct geographic regions—eight regions within the United States and one region in Europe. Within the United States, the Company has holdings in California—San Francisco Peninsula, Greater Sacramento, and Greater San Diego Areas; Washington State—Greater Seattle Area; Arizona—Greater Phoenix Area; Tennessee—Nashville Area; Florida—Jacksonville and Orlando Areas. In Europe, the Company has holdings in Switzerland’s Greater Zurich Area. SUMMARY OF DUTIES: The Tenant Services Coordinator (TSC) plays a key role in supporting the day-to-day operations of the property portfolio. This position serves as the primary point of contact for tenants, ensuring a high level of customer service and efficient coordination of tenant requests, building services, and vendor activities. The TSC is to perform supporting tasks in all areas of responsibility as requested by the Property Manager (PM) and the Assistant Property Manager (APM). ESSENTIAL DUTIES AND RESPONSIBILITIES Administrative ·Answer phones, check messages daily, help walk-in tenants. Respond to tenant inquiries & problem calls. ·Communicate with vendors and building engineers to ensure timely resolution of maintenance issues. ·Coordinate and track tenant service requests. ·Sort and process daily mail. ·Collect/scan rent checks in Yardi. ·Order supplies & oversee maintenance of various office equipment. ·Maintain calendar in Outlook. ·Maintain accurate tenant and vendor contact lists, tenant emergency contact forms. Update into Yardi. ·Support the PM and APM with administrative tasks ·Maintain daily, weekly, and monthly reports including accurate reporting of rents and deposits received. ·Maintain tenant and vendor insurance tracking. ·Create & maintain files for tenants & vendors. ·Prepare PO’s & vendor contracts as necessary for PM review. ·Review, code, & prepare vendor invoices for weekly processing, investigate any late fees, rate increases, past due amounts. ·Filing, scanning reports/leases/documents onto server. ·Prepare & post notices on vehicles illegally parked. ·Prepare invoices for Broker/Tenant Referral Fees for PM review. ·Prepare marketing flyers/brochures, manage online ads as directed by APM & PM. ·Update Craigslist postings 3 times a week. ·Tour spaces with prospective tenants. ·Complete accurate and timely personal payroll timesheets into Rippling ·Perform general administrative tasks. ·Input new tenant info in Yardi. ·Prepare and send tenant notices: general correspondence, email broadcasts, scheduled maintenance/repairs, events, etc. ·Send out Rent Statements. ·Prepare and post 3-Day Notices as necessary for PM review and follow up. ·Prepare move-out closing statement for PM review. ·Prepare monthly Tenant Insurance Report. ·Assist PM and APM in planning tenant functions. Attend functions and participate as host for any functions as directed by the PM. Coordinate & oversee Tenant Relations Promotions such as Tenant BBQ (July) & See’s Candies Distribution (Dec). ·Assist PM and APM with calls to Tenants on AR Report. Leasing ·Process lease applications and credit checks. ·Prepare lease renewal amendment and new leases for PM approval. ·Prepare lease renewal letters. Track return of signed lease renewals. Input of renewals in Yardi. ·Conduct periodic property walks, advising PM of your observations. ·Represent the Company in a professional manner at all times. ·As-needed tasks and special projects as directed by PM and APM. ·Maintain positive customer relations attitude. ·Physically inspect property when on grounds, pick litter and report any service needs to maintenance staff. Listen to tenant requests, concerns, and comments. ·Quickly complete maintenance Service Request and inform the maintenance team. ·Ensure all maintenance repairs are handled satisfactorily by contacting tenants with completed Service Requests on a weekly basis. ·Assist PM and APM with maintenance/repair requests with vendors and maintenance staff. EDUCATION AND / EXPERIENCE A technical school certificate or a minimum of five years of experience in real estate operations, customer service, or administrative support is required. Candidates must be proficient in PC-based systems, including Windows, with strong working knowledge of Microsoft Excel and competency in Microsoft Word and Outlook. Experience with Yardi Voyager accounting software is preferred, as is familiarity with coding. Exceptional attention to detail, along with excellent written, verbal, and phone communication skills, is essential. The role demands a high level of accuracy, reliability, and dependability. The ability to build and maintain positive working relationships with vendors and colleagues, and to collaborate effectively as part of a team, is critical.
