Property Administrative Assistant

Pay Rate: $20 – $22 per hour

Employment Type: Contract-to-Hire

Parking: Paid

About the Role

LHH Recruitment Solutions is seeking a Property Administrative Assistant for our client in Cincinnati, OH. This role is essential to supporting the Property Management Team and ensuring smooth day-to-day operations. The ideal candidate will have strong Excel skills, excellent organizational abilities, and a great personality to foster positive relationships with tenants and clients.

Key Responsibilities

  • Provide full administrative support, including phone coverage, typing reports, filing, and distributing correspondence.
  • Schedule and coordinate meetings and special events as requested.
  • Assist with lease administration activities, including tenant contacts and insurance information; generate reports.
  • Prepare and coordinate bid proposals, service contracts, and approved invoices; assist in the bidding process and ensure compliance with company policies.
  • Prepare and code invoices for Property Manager approval.
  • Maintain office supplies and ensure the office is well-stocked.
  • Ensure accurate completion of contracts and certificates of insurance in contract administration software.
  • Track and file contracts and insurance certificates; maintain follow‑up systems for expirations.
  • Monitor and maintain the property maintenance work order system; prepare monthly reports for Property Manager on tenant work orders.
  • Maintain the property purchase order system and lease/contract files.
  • Promote and foster positive relationships with tenants and clients; track service calls as required.
  • Assist with monthly and quarterly management reports and annual budget preparation.
  • Process management and maintenance staff hours, tenant bill‑back invoices, expense reports, meter readings, and check requests for review and approval.

Requirements

  • Experience: Previous administrative experience in property management or related field preferred.
  • Skills: Strong Excel skills are a must.
  • Excellent organizational and time management abilities.
  • Strong communication skills and a professional demeanor.
  • Ability to work independently and manage multiple priorities.
  • High school diploma or equivalent; additional education or certifications a plus.
