Job Goal
To maintain student body accounts and record transactions for both accounts payable and accounts receivable for a number of student body activity accounts including fund‑raising accounts. Efficiently and accurately process payroll using the Time‑Pro system. Keep student and all school business in strict confidence.
Minimum Qualifications
- High school diploma or general education degree (GED); three years secretarial or office experience or training.
- Have completed at least three years of experience in bookkeeping, payroll, typing (Microsoft Word and Excel), and general office work.
- Possess basic skills in bookkeeping and math.
- Ability to work harmoniously with others and to communicate effectively (both orally and in writing) with students, parents, and teachers.
- Bilingual Preferred
- Ability to maintain confidentiality.
Duties and Responsibilities
- Receive and accurately balance the student fees and student body accounts.
- Maintain and record details of student body financial transactions in appropriate journals and ledgers; co‑sign all requisitions, accounts payable, accounts receivable; process and pay all bills charged against student body accounts; balance monthly bank statement and prepare reports of monthly activity for each account.
- Prepare 6 months financial reports.
- Maintain cash drawer, counts, balances, and receipts for all monies on a daily basis.
- Reconcile accounts payable checks with bank statements and make daily/weekly deposits to local bank.
- Maintain account for activity money boxes, write receipts for all cash received, distribute and collect all student body purchase orders.
- Maintain accurate records for each student as to fees owed; bills not paid.
- Prepare records for audit and attend any necessary meetings.
- Maintain a high level of ethical behavior and confidentiality when dealing with student information.
- Perform financial accounting for the student store, if applicable.
- Assist teachers with placing their school supply orders.
- Process purchase requisitions for teacher and office supplies.
- Assist office staff in answering telephone calls, greeting visitors, answering inquiries from students, parents, and the general public and refer visitors to appropriate staff members.
- Assist in daily attendance.
- Cross‑train for the #2 registrar position to effectively perform this duty in the absence of the Registrar. Perform other such tasks (which may require knowledge of other job descriptions) as may seem appropriate to the Board or Administration.
- Assigns and assists substitute teachers in their building.
- Assist building principal and other administrators as necessary.
- Translate when necessary, if applicable.
- Any and all duties assigned.
