Office Administrative Assistant Job Description Summary The File Maintenance Administrative Assistant is responsible for general office, filing and mail room administration. The ideal candidate will handle a wide range of administrative related tasks, work with both paper documents and electronic files, and do routine tasks like data entry, organization, cross‑referencing, scanning, copying and retrieval. The person is exceedingly well organized and will handle multiple priorities and meet deadlines as required. This position reports directly to the Operations Manager. Office Hours: Monday – Thursday, 8:45am-5:30pm Friday, 8:30am-4pm Hours subject to change based on the needs of the business. Essential Job Functions Responsible for general office administration, filing and mail room maintenance: assume responsibility for maintenance of office supplies, equipment, including computers, copy machines and fax machines. Perform administrative tasks, such as completing paperwork, answering phone calls, filing and maintaining records. Routinely use Microsoft Word, Excel and PowerPoint to complete administrative tasks. Handle sensitive, confidential information and tasks with tact, discretion and diplomacy. Other duties as assigned. Requirements Professional appearance and conduct (i.e., no jeans, stretch pants/tights, or ripped clothing). Computer and technology savvy; previous Microsoft Office experience. Excel (intermediate - advanced level). Strong communication and interpersonal skills. Detail oriented. Ability to work in a fast-paced environment. Highly motivated. Analytical thinker. Quick learner. Flexible. Punctual (*very important to role). Willing and able to multi-task. Qualifications Previous work experience in File Maintenance, Data Entry, Customer Service and Administrative Assistance. Highly energetic individual, who has a positive, can‑do attitude, with ability to multi‑task and demonstrate effective time management skills. Education & Experience High School Diploma. Minimum 2‑years working experience in the following: Word, Excel (Intermediate Level), Data Entry, File Maintenance, and Administrative Assistant.
