Job Summary
The Assistant Front Office Manager at The Greenbrier is responsible for overseeing the day‑to‑day operations of the hotel, ensuring the smooth and efficient functioning of the Front Office Operations. The Assistant Front Office Manager collaborates with various departments such as Concierge, Housekeeping, Engineering, Activities, Food & Beverage, and Retail to ensure seamless coordination and exceptional guest experiences. They also handle cost control and inventory management to optimize resources and achieve financial targets, ensure compliance with industry regulations, and maintain a safe and secure environment for guests and employees.
Responsibilities
- Oversee the Manager on Duty aspects of the Front Office operation (Front Desk, Bell Stand, Front Door, & Valet).
- Interview, train, and schedule staff; conduct performance evaluations and discipline staff when necessary.
- Coordinate arrivals, departures, and billing requirements for all guests; review room blocks and resolve discrepancies; handle special attention guests, return guests, and groups.
- Help prepare the annual departmental operating budget and financial plans; monitor the budget and control labor costs and expenses with a focus on rate strategy, building initiatives, and inventory management.
- Ensure all financial and credit procedures are followed; follow up on credit problems with the Director of Front Office and/or Credit Manager; review all paid‑outs, rebates, and cashier work at shift end to ensure reconciliation with proper approvals.
- Develop plans to increase occupancy and ADR through upselling at the front desk.
- Resolve customer complaints from all areas of the hotel, handling all guest interactions with the highest level of hospitality and professionalism; accommodate special requests whenever possible.
- Check guests in and out efficiently and friendly; use guest name, assign correct room type and rate, arrange luggage delivery, issue keys, and present accurate bills; settle bills via credit card or cash.
- Work harmoniously and professionally with co‑workers, supervisors, and other departments.
- Schedule employees, track vacation requests, and ensure all scheduling aligns with the Union CBA.
- Strategically plan, execute, and motivate within the Front Office to ensure guests receive the best experience when inquiring about upgrades; keep proper records and prepare monthly pay‑outs for team members.
- Participate in developing and implementing corrective action plans based on survey and guest‑satisfaction reviews.
- Provide services that are above and beyond for customer satisfaction and retention.
- Inspect the quality and cleanliness of the property and report deficiencies to the appropriate departments.
- Assist with the management of other operational departments as needed (Secondary Responsibility).
Normal Working Hours
40+ hours per week (Shift, days)
Qualifications
In order to be successful in this position, the ideal candidate must meet the following criteria.
- Past Work Experience: Minimum of 2 years in the hospitality industry or related field; preferred experience in Greenbrier operations or Food & Beverage; prior supervisory experience required.
- Educational Requirements: High School Diploma or G.E.D. preferred.
- Communication Skills: Excellent written and oral skills.
- Technical Requirements: Computer proficiency with word processing, spreadsheets, and databases; familiarity with programming, calendars, and internet tools; typing and data entry skills.
- Physical Requirements: Work location is climate‑controlled; ability to work in heated environments; capability to work in below‑ground or elevated areas; personal protective equipment required; work postures may be continuous (up to 8 hrs in an 8‑hr shift), frequent (up to 5.5 hrs in 8‑hr shift), or infrequent (up to 3 hrs in 8‑hr shift).
