Operations Site Scheduler / Planner

The Scheduler/Planner is responsible for scheduling the workforce productively through effective job planning. They serve as a liaison between building occupants, Facilities Operations, and key stakeholders for logistics concerning facilities assets and manpower availability, and assist operations in developing a structured work plan to ensure efficient and effective use of resources.
In life sciences environments, all work centers on preventing unplanned downtime, maintaining highly proficient communication (email, text, phone), good documentation practices (GDP), and detailed job planning/execution following SOPs/MOPs.
Job Responsibilities
Maintain accurate asset inventory in CMMS.
Ensure assets are up to date and process all add/delete requests in the CMMS.
Create & assign preventive maintenance jobs with technicians and management authorization, ensuring appropriate PMs and job plans are current.
Own the creation and distribution of asset tags.
Process all change requests related to job plans in the CMMS.
Determine labor craft and skill requirements for maintenance work and align with facilities personnel.
Support selection of spare parts based on preventative maintenance and criticality assessment.
Develop work packages including materials and documentation to support maintenance work.
Coordinate maintenance work requirements to optimize resources.
Act as liaison between Facilities group and requesting department/tenant to coordinate maintenance work.
Coordinate and schedule contracted service providers for lead technicians or managed contracts.
Lead weekly scheduling meetings with facility and maintenance managers.
Generate and distribute daily, weekly, and monthly work reports.
Collect data to support scheduled reporting.
Assist with budget preparation and reporting department budget/actual monthly reports.
Solicit service contracts and SLAs and generate purchase orders.
Process employee timecards and time off submissions.
Oversee quality of work order and asset records in CMMS.
Create and submit purchase orders for asset management and preventative maintenance.
Key Interactions
Engage with leaders and stakeholders.
Engage with employees across the organization as needed.
Engage with customers and clients.
Requirements
Excellent organizational, communication (oral and written), and planning skills.
Ability to provide management and support staff with reports and guidance to inform maintenance scheduling decisions.
Multi‑task in a high‑speed, high‑pace environment.
Minimum 5 years of experience in maintenance planning/scheduling.
Proficient experience with a Computerized Maintenance Management System (CMMS).
Previous experience in Facilities Management preferred.
GXP/Life Science experience preferred.
Working Conditions and Physical Requirements
Ability to lift up to 50 pounds, climb ladders, work in tight spaces, and perform physical labor related to maintenance and repair.
Work environment noise usually moderate to loud.
Possible frequent exposure to moving mechanical parts, risk of electrical shock, wet or humid conditions, high, precarious places and outside weather conditions.

Availability to respond to after‑hours emergencies as necessary.
