Job Summary The Project Coordinator is a highly motivated and detail-oriented professional responsible for supporting the day-to-day management and coordination of multiple projects. This role requires a dependable, efficient, and organized individual who demonstrates accountability, punctuality, and strong communication skills.

Responsibilities

Preparation and submission of MOT permits and coordination with permitting authorities as needed.

Tracking MOT permit status and following up to ensure timely approvals.

Strong organizational and time management skills with exceptional attention to detail.

Coordination and oversight of daily project activities to ensure tasks are completed efficiently and on schedule.

Maintaining clear, consistent, and professional communication with vendors and internal teams, external stakeholders, and clients.

Preparation, updating, and tracking of project reports and documentation to ensure accuracy and accessibility.

Monitoring project progress, identifying potential issues, and implementing solutions to maintain permitting timelines.

Ensuring accountability and follow-through on assigned tasks, deadlines, and communications.

Contributing to a positive team environment through professionalism, reliability, and proactive engagement.

Ability to multitask and manage competing priorities in a fast-paced environment.

Minimum Requirements

Proficiency in Smartsheet and Microsoft Office Suite (Excel, Outlook, Word, Teams, PowerPoint).

Knowledge of or experience with Right‑of‑Way permitting and/or Maintenance of Traffic (MOT) permitting or operations preferred.

Ability to read and interpret construction and MOT plans related documentation.

Experience in MOT permitting is preferred.

Preferred Qualifications

Three (3) or more years of experience as a Project Coordinator.

Bilingual.

Physical Demands and Work Environment This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copiers, and scanners.

The position is primarily sedentary, with some filing or lifting required. Must be able to bend and lift and carry up to 20 pounds.
