Overview The Dispatch Supervisor is responsible for overseeing the work of dispatchers. The Supervisor ensures timely coordination and inland dispatch of ocean and airfreight shipments for delivery to customers. This Import Department position is also responsible for verifying the completeness of documents accompanying the shipments and proactively communicating shipment and delivery status to ensure a clear and steady workflow.
Responsibilities
Supervise the functions of Dispatchers, including coordinating with trucking companies for timely pickup and delivery of freight to customers.
Verify shipments are fully released and payments posted before dispatch for delivery.
Ensure the required type of vehicle and space is available with trucking companies prior to dispatch; verify accurate piece count and calculate weight and dimension of freight.
Ensure freight is booked at correct rates by calculating miles driven and verifying trucking rates with the billing department.
Maintain accurate shipment records, including forwarding shipments with accurate documentation and related dispatch and delivery information.
Obtain proof of delivery.
Maintain updated dispatch/trucking and delivery information in related shipping files and computer systems.
Provide excellent and timely customer service by giving accurate and detailed information to all parties requesting status updates.
Advise supervisor of any problems or irregularities within assigned transactions and actively participate in problem resolution.
Supervisory Responsibilities Supervises Dispatchers. Carries out supervisory responsibilities according to the organization's management policies, procedures, and applicable laws. Includes determining staffing needs, hiring and training, planning and assigning daily work, providing ongoing feedback, conducting performance appraisals, addressing performance issues, and resolving problems.
Qualifications Associate degree preferred plus a minimum of 3 years related experience in transportation, logistics, freight forwarding or an equivalent combination of education and experience. Must be teachable and eager to learn.
Must possess excellent customer service skills and phone etiquette.
Able to handle stressful situations.
Able to take instructions and follow through independently.
Must have good personal organization skills and be able to multitask.
Must present oneself in a cooperative and professional manner.
Must have good judgment and initiative.
