What You'll Do The Dental Clinic Assistant Manager assists the Dental Clinic Manager by coordinating day‑to‑day functions of the operational office and providing support and guidance to front office staff to ensure efficient workflow. In the manager’s absence, the Assistant Clinic Manager exercises decision‑making duties. This key team member ensures patients receive the needed and wanted dentistry, including scheduling appointments, insurance verification, preparing future treatment plans, and addressing patient concerns. The Assistant Clinic Manager also assists with answering phone calls, greeting patients, and maintaining office appearance.

Requirements Responsibilities
Coordinate day‑to‑day clinical functions to provide excellent, efficient service.
Provide front office leadership, ensuring smooth operations and effective procedures.
Assist with new employee onboarding and developmental training.
Collaborate with the dental clinic manager on staff ideas and concerns.
Participate in personnel matters relating to front office staff.
Fill daily appointment schedules, optimizing each provider’s day.
Adhere to appointment confirmation standards, including phone calls and electronic communication.
Ensure medical clearance forms and specialty reports are received prior to appointments.
Coordinate fees and insurance benefits for patients.
Create accurate financial estimates for each patient’s treatment plan.
Offer financial options to patients.
Use patient account software accurately and maintain financial records.
Obtain insurance approvals in a timely manner.
Discuss recommended plans with patients and ensure understanding.
Prepare necessary paperwork for each visit according to standards.
Greet patients upon arrival and check them in for appointments.
Register new patients and assist with forms and documentation.
Collect and post accurate payments into the patient account software.
Process referrals promptly.
Communicate treatment plans, costs, and scheduling with patients.
Ensure patient compliance with office procedures and policy.
Qualifications
High School Diploma or equivalent.
Minimum of 2 years of related experience in a dental setting with supervisory or training experience. A combination of education and experience may be considered.
Experience in a community health center or FQHC preferred.
Dental Assistant experience is a plus.
Current BLS certified.
Experience with EHR/Schedule Systems required; EPIC Wisdom preferred.
Knowledge of dental terminology and government (Medi‑Cal) and non‑government payers for dental insurance.
Proficient with Microsoft Office and Google Workspace software.
Additional Requirements
Must have a current and valid California driver’s license and proof of personal auto insurance for the vehicle driven during working hours.
External hires must provide proof of immunizations (Hepatitis B, MMR, Varicella & Tetanus), tuberculosis clearance, and proof of COVID‑19 vaccination status prior to the scheduled start date. The position is subject to criminal background investigation and drug screen.
Physical Requirements and Work Environment The work environment is characteristic of a dental clinic. Employees frequently sit, use hands, stand, walk, and reach with hands and arms. Occasionally lift or move up to 20 pounds. Vision requirements include close and distance vision and the ability to adjust focus. Hearing and speech are required for in‑person and telephone communication. The noise level is usually quiet. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

Compensation - Dependent Upon Experience $28.00 - $36.40 an hour
