Accounts Receivable and Regulatory Compliance Specialist
Max Distributing is seeking a highly organized and compliance-focused Accounts Receivable and Regulatory Compliance Specialist to support our growing national distribution business. This role blends traditional AR responsibilities with significant excise tax reporting, sales tax analysis, PACT Act compliance, and multi-state regulatory research, making it ideal for someone who is highly detail-oriented and comfortable working in a regulated environment.
Key Responsibilities Regulatory Compliance & Tax Reporting (Primary Focus)
Prepare monthly Excise Tax Reports for multiple states, ensuring compliance with all tobacco, vapor, alternative-product, and related sales‑tax regulations.
Complete all PACT Act Monthly Reports, ensuring accuracy in shipment data, customer details, and product categories.
Conduct excise tax and sales tax research to ensure correct product classifications, filings, and registrations.
Manage all licenses and renewals, including tobacco permits, vape registrations, wholesale dealer licenses, and other regulatory authorizations.
Maintain audit‑ready records and track regulatory updates affecting reporting deadlines and requirements.
Invoicing & Order Processing
Release sales orders from credit hold in the accounting system.
Handle collecting for major retail partners.
Prepare and distribute monthly customer statements.
Support clean revenue reporting through timely and accurate billing processes.
EDI Processing & Customer Reporting
Generate EDI transmissions for key customers.
Prepare weekly Sales Reports to support sales.
Payments, Cash Application & Reconciliation
Run weekly ACH batches.
Enter and post customer deposits as needed.
Accurately apply remittances and resolve discrepancies.
Assist with AR aging reviews and account reconciliation.
Requirements & Qualifications
2–5 years of experience in accounting, AR, compliance, or tax-focused roles.
Preferred: Experience with sales tax reporting, excise tax reporting, and tax research.
Strong familiarity with regulatory reporting cycles and requirements.
Experience with PACT Act reporting or regulated-product categories is a plus.
Advanced attention to detail and accuracy in data handling.
Strong Excel skills (pivot tables, VLOOKUP/SUMIF preferred).
Ability to manage recurring deadlines with minimal supervision.
Strong communication skills and professionalism.
