Senior Research Portfolio Administrator
Department: Genetics, Harvard Medical School, Boston.
Job Description The Department of Genetics seeks a Senior Research Portfolio Administrator to manage pre‑ and post‑award aspects of a complex portfolio for interdisciplinary faculty funded by federal and private sources. Responsibilities include creating proposals, managing budgets, authorizing expenditures, reviewing financial reports, forecasting scenarios, and making recommendations. The role requires close collaboration with faculty, sponsors, financial offices, and industry partners, and includes participation in sponsor meetings and special projects.
Responsibilities
Develop and submit proposals, budgets, and funding applications.
Authorize and approve expenditures and reconcile monthly, quarterly, and annual financial reports.
Forecast financial scenarios and recommend spending plans.
Present financial data to sponsors and act as a project team member when required.
Serve as a liaison with university offices, financial offices, and external partners.
Prepare agreements and research‑related documents.
Update personnel funding and effort certifications.
Assist in developing lab‑specific procedures and policies.
Support department on special projects and provide customer service for complex issues.
Qualifications Basic Qualifications
Five or more years in sponsored research administration or related experience.
Additional Qualifications and Skills
Bachelor’s degree in finance, accounting, or related field preferred.
Exceptional customer service skills.
Strong verbal and written communication.
Proficiency in Excel and Word; aptitude for complex data query tools.
Ability to work independently and as part of a team.
Strong problem‑solving and attention to detail.
Discretion with confidential information.
Experience with ORACLE financial systems and familiarity with Harvard financial applications preferred.
Ability to manage multiple priorities in a fast‑paced environment.

Standard Hours:
35 hrs per week, Monday–Friday, 9:00 a.m.–5:00 p.m.
