Executive Assistant at Sysco

The Executive Assistant role provides administrative support to executive‑level leadership, handles highly sensitive and confidential information, manages high volumes of scheduling, and is responsible for creation and development of visual presentations.

Responsibilities

  • Provide administrative support to the Executive Officer, including detailed calendar management, expense report management, mail processing, invitation coordination, and travel coordination.
  • Act as the point of contact between the Executive Officer and internal/external clients.
  • Coordinate meetings and special events, including attendee management, materials preparation, and room set‑up and issue resolution.
  • Manage flow of information to the executive officer: receive and screen phone calls, open and sort mail, summarize reports and memos.
  • Prepare and format information for internal and external distribution (emails, letters, memos, reports, presentations).
  • Develop and maintain databases for various projects.
  • Create spreadsheets using MS Excel (advanced skills).
  • Positively embrace other initiatives as they occur.

Qualifications

Education

  • High School diploma required.
  • Bachelor's degree preferred.

Experience

  • Minimum of 5 years of professional administrative experience, or equivalent combination.
  • 2+ years supporting Senior Vice Presidents and/or Executive Vice Presidents preferred.

Certificates, Licenses, and Registrations

  • Certified Professional Secretary (CPS) certification preferred, but not required.

Professional Skills

  • Intermediate to advanced working knowledge of Windows software (Word, Excel, PowerPoint, Outlook).
  • Advanced PowerPoint skills.
  • Professional presence, sense of urgency, and ability to prioritize.
  • Exceptional written and verbal communication; excellent telephone etiquette.
  • Strong planning, organizing, follow‑up, and attention to detail.
  • Flexible work hours as required.
  • Ability to handle sensitive information.
  • Strong data handling and basic math skills.
  • Compute rates, ratios, and percentages; apply common sense to instructions.
  • Solid organization, analytical, and follow‑up skills; work on multiple projects concurrently with minimal supervision.

Physical Demands

  • Regularly sit, stand, walk, and use hands and fingers to operate computer, keyboard, mouse, telephone.
  • Occasionally lift or move up to 20 pounds.

Working Conditions

  • Professional office environment.
  • Moderate noise level.
  • Local candidates only; must be able to work in the US without visa sponsorship.
