This position coordinates field office operations to ensure organizational effectiveness and efficiency. The Office Coordinator is accountable for a variety of duties that support various functions ranging from Human Resources, Finance, Security, and Procurement. Duties & Responsibilities Coordinates pre‑employment physical testing, background checks, and drug screens. Creates new ID badges, sets up building access, and logs information into the facility security system. Assists teammates with completion of new hire documentation and related system entries; inspires the teammate onboarding experience including benefits and company services introduction. Manages work and time off scheduling, the timekeeping system, facility and badge access, and related issues. Serves as liaison to department leaders on employee relations matters. Verifies and completes weekly payroll, submits variable compensation requests, researches pay‑related matters, and facilitates teammate master data changes. Procures location supplies (office, janitorial, POS materials, promotions, first aid, break room, equipment) and submits invoices for payment. Procures temporary labor as required. Coordinates meetings and events for internal and external groups, including scheduling, catering, and room setup. Facilitates facility or system repair requests and maintains the site security system, including badge access, cameras, fire alarms, sprinklers, and related logs. Researches and provides analysis on P/L queries, financial variances, and invoice payment status. Maintains OSHA and other safety documentation and logs. Ensures teammates are set up in the company e‑learning platforms and maintains compliance documentation (DOT, SQF, MSDS, etc.). Provides administrative support to location safety committees and follows up on accident‑related tasks. Facilitates Transitional Return to Work assignments and coordinates with Corporate Risk Management and TPA. Performs general administrative duties such as mailing/shipping, beverage orders, legal postings, and employee communications. Provides technical support for company equipment and coordinates with the IT team for advanced issues. Handles all incoming calls to the switchboard, greets visitors, and directs them to the correct destination. Maintains records, verifies accuracy, generates reports, and provides internal customer service to promote positive relations. Supports Company Stewardship Programs and events, including communications, meetings, community outreach, and product donations. Provides training and backup coverage for other admins as required. Knowledge, Skills & Abilities Working knowledge of Microsoft Office Productivity tools. Prior experience in customer service or an administrative, clerical, and receptionist role. Ability to handle sensitive information confidentially. Minimum Qualifications High school diploma or GED. Preferred Qualifications 2 years of education beyond high school in college or technical school. 1 to 3 years of relevant work experience. Work Environment Office environment.
