Position Overview The Sr Fleet Operation Support Specialist is an administrative and operational role that primarily coordinates fleet maintenance, vehicle assignments, documentation, scheduling, tracking, vehicle compliance, database accuracy, and cost controls. The Support Specialist provides exceptional customer service and collaborates with team members, customers, and outside vendors to meet timelines, ensure vehicle compliance, and maintain department KPIs.
Responsibilities
Perform clerical and administrative duties related to the Fleet Management program fulfillment.
Maintain vehicle files, billing records, invoices, vendor and service provider relationships.
Document accurate, up‑to‑date vehicle information in Fleet Management systems, including assignments, service requests, registration data, repair, and service records in compliance with state, federal, and other regulations.
Analyze, manage, and report customer vehicle information and shop throughput via daily reports and query capabilities.
Work with customers, both internal and external, to resolve escalated service issues and support during catastrophic events.
Collaborate with management to utilize team resources to ensure quality work, efficiency, and effective customer service against key performance indicators.
Maintain proactive communication with customers, establishing and maintaining relationships to meet department deliverables.
Respond to customer inquiries about assigned vehicles, providing quality service and assisting in problem resolution.
Provide detailed vehicle information to support utilization and reliability when required.
Use fleet asset maintenance systems to monitor and track vehicle repairs.
Communicate and schedule repairs or enhancements with Fleet Services management and location technicians.
Monitor vehicle through the Fleet Services fulfillment process, ensuring timeline commitments are met and verifying completed work meets or exceeds customer quality standards; follow up with customers to confirm satisfaction.
Minimum Qualifications
High School Diploma/GED and 5 years of experience in a related field (or an equivalent combination such as a degree beyond HS and 3 years of experience; or 7 years in the field).
Strong proficiency with computers, Microsoft Office, and internet-based applications.
Self‑motivated, able to manage expectations, prioritize work to meet deadlines, and work under pressure in a fast‑paced, high‑energy environment.
Ability to perform data analysis and make recommendations on changes to policies, procedures, and processes.
Ability to maintain accurate records, asset inventories, and create/analyze reports.
Strong interpersonal skills and effective communication with peers, business partners, and leadership.
Ability to interact with internal and external partners supporting corporate policy, standards, and procedures.
Proficiency in understanding, analyzing, and managing vehicle information to provide recommendations.
Works well in a team environment by supporting departmental initiatives and goals.
Excellent customer service, organizational, written, and verbal communication skills.
Ability to sit or stand for prolonged periods and perform repetitive data entry tasks with manual dexterity.
Travel confined to nearby customer locations within the assigned region; must have a valid US state‑issued driver’s license.
Occasional exposure to weather conditions, fumes, and noise.
Preferred Qualifications
Associate degree or 5 years of fleet experience.
Knowledge of federal, local, and state laws relevant to vehicles in the region to support compliance of related records.
Compensation Hourly base pay: $21.49 – $32.26 per hour (range may vary by location and candidate qualifications). Additional compensation may include commission and/or incentive programs.
Benefits Employees receive a minimum of 6.67 hours of paid time off each month and seven paid holidays per year. Additional paid time off is available for bereavement, voting, jury duty, volunteer time, military leave, and parental leave.
