This role contributes to that mission by supporting medical student education and continuous learning through coordination of key events and confidential administrative tasks. Key Responsibilities
This position is multi‑project oriented with inflexible deadlines, requiring strong time‑management and communication skills. Responsibilities include: Budget management and coordination of medical school events such as Student Awards Day, White Coat Ceremony, Fourth‑Year Dinner Dance, and AOA Banquet; general budget and project management; developing and disseminating communications. Oversee FDA and state licensing paperwork for the School of Medicine and Dentistry MD program; manage degree verifications, transcripts, and other documents for students and graduates. Maintain and update medical school records, digitize graduate files, and manage the SMD MD electronic database. Serve as central contact for the Offices for Medical Student Education, coordinate onboarding and orientation of incoming medical students, including registration for orientation courses. Manage locker assignments, room reservation requests, student security and access to OME‑managed spaces, and day‑to‑day facilities issues. Direct medical student mail distribution, pager assignments, and expense reimbursement requests. Improve administrative procedures, update SOPs, and maintain professional office organization. Communicate important information to students through digital platforms and manage the OME shared calendar. Assist with day‑to‑day facility and environmental service coordination and procure supplies for the Student Services Office. Additional Duties
Other duties as assigned by the Director of Offices for Medical Student Education. Minimum Education & Experience
Associate’s degree – required. At least three (3) years of administrative, office, or event‑planning experience, including one (1) year in a role with minimal supervision – required. Or equivalent combination of education and experience – required. Knowledge, Skills & Abilities
Superior organizational and multitasking skills. Excellent oral and written communication. Sensitivity to equity, diversity, and inclusion in a student‑centered environment. Strong attention to detail and prioritization. Proficient computer skills, especially Microsoft Office and Zoom/virtual conference platforms. Practical knowledge of Box and Zoom platforms. Knowledge of FERPA and federal privacy guidelines.
