Womble Bond Dickinson (US) LLP seeks an Office Services Assistant for our Tucson, AZ office. This position provides office services support in one or all of the following areas: operates high volume duplicating equipment, performs associated duplication tasks, ships and receives products and supplies, sorts, tracks, distributes, and handles incoming and outgoing mail/faxes, as well as applies necessary postage. Provides copier maintenance and/or repair of office services equipment. Provides daily hospitality services for office and internal meetings.
Responsibilities
Run high volume copy machines; perform binding and finishing work.
Provide copier maintenance and/or repair of office services equipment.
Sort, track, distribute, and handle incoming and outgoing mail/faxes and perform duties related to overnight shipping of materials.
Maintain inventory levels of office consumable supplies and catering pantries, coordinating orders with vendors to ensure timely replenishment and cost efficiency.
Beverage/coffee/food set‑up and break‑down in conference rooms for meetings and events.
Prepare visiting attorney offices.
Perform courier services to businesses and residences, as requested.
Maintain the cleanliness of the kitchens, breakrooms, and common areas.
Place catering orders for internal meetings and events.
Provide backup coverage for the receptionist and perform message center duties as assigned.
Assist attorneys and business professionals on various projects and events.
Assist the Records team with organizing, maintaining, and retrieving files to ensure efficient record‑keeping and compliance with Firm policies.
Perform other duties as assigned.
Requirements
Must have high school diploma or GED.
Some related customer service experience is preferred.
Some law office experience is preferred.
Notary Public is preferred.
A valid driver’s license and dependable mode of transportation with minimum levels of auto insurance coverage due to frequent travel/courier services to client/attorney residences is required.
Knowledge of basic office equipment.
Knowledge of Outlook, Microsoft Word, Microsoft Excel and imaging software.
Ability to work independently and flexibly to complete projects.
Ability to comprehend instructions concerning assigned tasks.
Possess troubleshooting and problem solving skills.
Possess ability to read and comprehend written technical information.
Possess excellent customer relations skills and excellent verbal communication skills.
Deals with tight deadlines and quick turnaround.
Some physical effort is required which may involve long periods of standing, walking, bending, reaching, stretching, climbing or similar activities as well as lifting or moving items weighing up to 75 lbs. and in pushing or pulling machines on wheels, which may weigh up to 700 lbs.
