Duties:

The Administrative Assistant plays an important role in helping the Chelmsford client facility, and Sensing, Safety & Connectivity Business, run smoothly and effectively. We are looking for someone who can handle competing priorities, works well with others at all levels, and brings energy and passion to work every day.

Responsibilities & Essential Functions:

  • Provide administrative support to the site's Director to enhance effectiveness, including dealing with customers & suppliers, composing correspondence, scheduling meetings, maintaining files, and handling confidential information with discretion.
  • Strong communication skills; appropriate interpersonal skills to interact with client management.
  • Arrange travel, both domestic and international, and be on call to modify reservations on short notice. Ensure passports, visas, etc., are up to date.
  • Participate in the Director's schedule and agenda, facilitate project timelines, and support the Director’s efficiency.
  • Provide operational marketing support, including creating templates and agendas, organizing PowerPoint slides, coordinating meeting speakers, and maintaining organizational charts.

Administrative Assistance for Managers and Staff:

  • Support interviews for external candidates, including reserving rooms, coordinating schedules, and escorting candidates.
  • Coordinate site visitors with reception, including guest Wi-Fi, room reservations, refreshments, and escorting visitors.
  • Arrange meetings (local and offsite), ensuring AV equipment and network requirements are met, and organize refreshments as needed.
  • Provide prompt, customer-oriented service to callers and visitors.

Support campus culture and coordinate internal activities such as team-building, product launches, and VIP visits.

Qualifications:

Education: High School Diploma or GED required. Legal authorization to work in the US required; no sponsorship available.

Preferred: Bachelor's or Associate's degree; 1+ years of related experience; 5+ years supporting leadership teams; 5+ years using Microsoft Office Suite (Excel, PowerPoint, Word, Teams).
