Position Summary The Production & Fulfillment Manager oversees the full lifecycle of Production, Fulfillment, and Shipping/Receiving operations at the Equator Coffees Roastery. This role serves as a key operational leader responsible for workflow management, food safety compliance, equipment oversight, staffing, and cross-department coordination.

This position manages daily floor operations, prioritizes resources, and ensures accurate, efficient, and high-quality order fulfillment for all wholesale, e-commerce, delivery, and internal retail channels. The Manager also oversees the labeling ecosystem (Bartender, Afinia, Primera PL400, WIND LAB510 ), production equipment performance, packaging inventory, and all associated documentation and compliance requirements.

As a people leader, the Production & Fulfillment Manager is responsible for hiring, onboarding, training, coaching, scheduling, performance management, payroll reviews, and maintaining a safe, high-performing team culture. This role is central to maintaining operational continuity and is expected to build cross-training, SOPs, and redundancy across all operational workflows.

Key Responsibilities Production & Fulfillment Leadership

Oversee all daily production, filling, sealing, packing, and fulfillment operations.

Manage workflow prioritization across UPS, USPS, Delivery, wholesale, online orders, and special projects.

Own Bag Report management, ensuring correct labeling, completeness, and timely fulfillment.

Conduct daily floor supervision, adjusting workflow and labor allocations as needed.

Lead daily team huddles, communicate priorities, and ensure all team members are properly resourced.

Provide hands‑on operational support and stand in for Shipping & Receiving leadership when needed.

Labeling, Printing & Packaging Systems Management

Serve as the primary owner of the labeling ecosystem: Bartender Label Software

WIND LAB510

Create, modify, and troubleshoot label templates.

Oversee label substrate inventory, ordering, and compatibility specifications.

Troubleshoot printing issues, calibration problems, and inconsistencies.

Maintain documentation of settings, templates, and label standards for cross‑training.

Food Safety, Compliance & Documentation

Assist in the maintenance of HACCP requirements, GMPs, sanitation logs, and food safety compliance documentation.

Work with the Facilities Maintenance Supervisor to schedule equipment maintenance checks and corrective actions.

Partner with the Food Safety team to meet all regulatory and internal requirements.

Ensure all production spaces meet Equator and regulatory food safety standards at all times.

Equipment & Technical Systems Oversight

Operate, troubleshoot, and oversee: Weigh/filling equipment

Date coding systems (Leibinger, date guns, etc.)

Retail grinding equipment

Label printing systems

One of the primary operators of the roastery tech stack: Entrada (production & fulfillment platform)

WIND LAB510 (where applicable)

Bartender

Afinia

Paylocity (timecards, payroll review)

Harri (recruiting and candidate tracking)

Ensure equipment performance, cleanliness, and daily operational readiness.

People Leadership & HR Operations

Hire, onboard, and train Production Associates and cross‑functional production staff.

Build and maintain a cross‑training matrix to reduce areas of single‑point dependency.

Conduct performance reviews, deliver coaching and corrective actions, and support career progression.

Oversee timecard corrections, PTO/sick time administration, and payroll accuracy in Paylocity.

Create and manage weekly schedules aligned to labor budgets, business needs, and employee availability.

Cultivate a safe, positive, respectful, and high‑performance work culture.

Recruiting & Team Growth

Partner with the People & Culture team in candidate screening, interviews, and selection.

Maintain strong communication with HR regarding staffing needs, turnover trends, and upcoming role requirements.

Operations Administration & Cross‑Department Collaboration

Maintain packaging and label inventory in partnership with the Senior Operations Manager.

Partner with Roasting, Front Office, and Shipping/Receiving teams to ensure alignment and workflow continuity.

Support budgetary performance through labor planning, waste reduction, and process improvements.

Lead or participate in continuous improvement projects.

Qualifications and Requirements

Proven leadership experience in production, fulfillment, food manufacturing, or similar operations.

Strong technical aptitude with the ability to learn, operate, and troubleshoot specialized equipment and software.

Exceptional attention to detail and accuracy.

Excellent verbal and written communication skills.

Demonstrated ability to coach, develop, and hold teams accountable.

Ability to work cross‑functionally and collaboratively.

Ability to lift 25–70 lbs and work in a non‑climate‑controlled environment.

Preferred Skills, Knowledge & Abilities

Deep familiarity with production or fulfillment environments, ideally in food, beverage, or CPG.

Experience with label printing systems (Bartender, Afinia, Primera Label Applicator).

Experience with HACCP, GMPs, food safety programs, or regulatory compliance.

Forklift certification.

Knowledge of the coffee industry and roasting/production environments.

Experience using Entrada, WIND, Paylocity, or similar systems.

Strong process documentation skills (SOP creation, cross‑training, training materials).

During the performance of duties, employees are expected to engage in regular communication, auditory perception, and reading tasks. This role is dynamic and involves prolonged periods of standing (or being on one’s feet for up to 8 hours), walking, bending, stooping, climbing ladders, and crouching throughout the shift. Additionally, employees will be required to lift products and packaging overhead and may frequently handle items weighing between 25 and 70 pounds. Essential vision capabilities for this role encompass close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Furthermore, adept finger and wrist dexterity are essential for successful performance in this position.
