Job Summary Under the direction of the department manager, the Patient Account Representative is responsible for the timely resolution of outstanding accounts due from third‑party carriers, individual patients and refunds. This includes account analysis, telephone contact, written correspondence, financial arrangements for payments and recommendations for account write‑off or agency assignment.

Essential Job Functions

Attend seminars, as needed.

Complete inquiry forms accurately to expedite account resolution.

Correct errors promptly and submit corrected claims to insurance carriers.

Display professional commitment, promoting unity and teamwork among coworkers.

Handle incoming correspondence and returned mail on a timely basis.

Identify late charges, obtain supporting documentation, update contractual adjustments, and submit corrected claims.

Maintain accurate and complete notes in the patient account system.

Maintain productivity reports for accounts and submit to Customer Service Manager.

Meet or exceed productivity and monthly cash collection goals.

Negotiate payment arrangements.

Obtain completed charity applications and required documentation.

Obtain necessary documentation from patients, insurers, or third‑party intermediaries.

Obtain approvals per procedure guidelines for adjustments.

Prepare refund requests and supporting documentation.

Prepare request forms for account write‑off or agency referral and seek approval.

Reduce outstanding dollars and number of accounts consistently.

Report all collection and follow‑up activities daily.

Resolve accounts using procedure guidelines and collection work list.

Participate in organization‑wide performance improvement activities.

Screen patients for Medi‑Cal coverage or charity write‑off if negotiation is not possible.

Send appropriate form letters when necessary.

Submit transaction adjustments to maintain accurate patient account records.

Telephone patients/guarantors, insurers, or third‑party intermediaries to resolve balances.

Verify accuracy of insurance payments and patient responsibility as stated in the Explanation of Benefits (EOB).

Qualifications

Minimum: High school diploma or equivalent; completion of relevant coursework.

Preferred: 2–3 years of experience in a healthcare environment.

Experience with Chart Maxx or other scanning systems.

Experience with Quadra Med/Affinity or other patient accounting software.

Experience with insurance (UB04) billing regulations and electronic claims submission.

Certified Patient Account Technician certification desirable.

Pay Transparency The hourly salary rate range for this position is $21.00 – $24.37.
