Position Overview:

The Manufacturing Institute (MI) is seeking an ambitious, thoughtful and detail oriented professional to serve as Executive Assistant to the organization’s President. This includes managing all administrative functions, such as the President's schedule, arranging travel details and coordinating relevant briefing material. In addition, the position will be responsible for anticipating internal and external needs, and comfortable with communicating with c‑suite executives and stakeholders.

Join the MI Team and Make an Impact in the Following Ways:

Maintaining all aspects of the President’s calendar and schedule including meetings, speaking engagements, travel, internal meetings, call list, etc.

Coordinating all prep materials including coordination with internal and external partners. This includes organizing materials for meetings, presentations, and events, ensuring the President is well‑prepared.

Arranging all travel details for the President, including preparing travel options for review and preparing and filing expense reports in a timely manner.

Coordinate and prioritize incoming requests, ensuring timely responses and follow‑ups. This includes managing the organization’s strategic scheduling process and reliable communication with key stakeholders.

Organize and ensuring appropriate briefing materials and prep time are in place to fully prepare the President for a wide range of events and meetings.

Providing administrative support to the President including managing items that come in to the President for review and approval, materials that come in to and out of the organization’s executive office, internal contract review processes, and serving as the primary point of contact for internal and external communications on behalf of the President.

Managing records and materials relevant to the executive office, including contact information and engaging in special projects as directed by the President and or the organization’s Chief Administrative Officer.

Coordinating schedules of the President’s direct reports as it relates to scheduling MI Events.

The Executive Assistant will also support the Chief Administrative Officer in facilitating a small number of organization‑wide processes, including contract approvals, team meeting agendas, maintaining the organization’s planning calendar to track key events and supporting in person meetings that take place at the MI’s DC offices.

We are looking for Ambitious Candidates who meet the Following Criteria:

Professional Experience: 5 to 7 years of relevant professional experience supporting an organization’s principal executive. Experience working in a nonprofit, government, association or workforce development setting is preferred but not required.

Ability to function with discretion and understanding for confidential matters.

Proficiency in MS Office programs and SharePoint required. Familiarity with Salesforce and Asana a plus.

Ability to function in a fast paced environment and strategically execute a variety of tasks and scheduling functions with high attention to detail, organization, and process.

Frequently required to make quick decisions and resolve scheduling conflicts using good judgment to ensure that time is used appropriately and efficiently.

Must be well organized and self‑motivated, with the ability to work well under pressure and able to manage workload to meet deadlines.

In office 5 days per week to assist with any and all operating office equipment and greeting visitors.

Salary & Benefits

$85,000 - $100,000 annually. This salary range represents a good faith estimate of the lowest to the highest salary for this position. The final salary offered will be based on qualifications and experience.
