$70,000 - $80,000 (based on experience)
This position requires a proactive approach to managing multiple projects simultaneously, ensuring all events are executed efficiently and meet the highest standards. You will be expected to collaborate with internal teams, external partners, and stakeholders to deliver impactful experiences that align with NWPCA’s values and objectives.
Position Summary As the Events & Programming Manager, you will help plan, organize, and execute meetings, conferences, trade shows, and special events that advance NWPCA’s strategic goals. This role combines event management and project management, requiring creativity, attention to detail, and strong organizational skills.
Key Responsibilities Educational Programming
Plan, deliver, and evaluate educational programs for annual conferences, regional events, training courses, webinars, and collaborative initiatives.
Work with volunteers and staff to develop content and assess outcomes.
Select topics and speakers, manage speaker logistics, and facilitate planning calls.
Support virtual and live events, including speaker contracts, schedules, and expenses.
Registration Management
Serve as the main contact for event registration, managing setup, monitoring, reporting, and member assistance.
Maintain and enhance registration systems, process attendee lists, and provide onsite support.
Track event metrics and recommend improvements for future initiatives.
Partner with the VP of Operations/Events and onsite teams to execute event details.
Manage logistics, sponsorship fulfillment, signage, transportation, and special events.
Assist the VP of Operations/Events to create and summarize RFPs, assist in negotiating contracts, and cultivate vendor relationships.
Oversee inventory, AV support, and mobile app management for events.
Other Duties
Assist with event budgets, invoice processing, and billing arrangements.
Collaborate with VP of Operations and Events and Marketing on promotional plans and onsite program execution.
Proofread and approve marketing materials and onsite graphics.
Travel to trade shows and industry events as needed.
Desired Qualities & Skills
Exceptional attention to detail and proofreading skills.
Ability to manage multiple projects and meet overlapping deadlines.
Quick problem‑solving, especially in onsite settings.
Strong communication and collaboration skills.
Proactive, adaptable, and thrive under pressure.
Proficiency in MS Office, spreadsheets, and association management systems (YourMembership experience preferred).
Prior experience in association meeting management is a plus.
