Responsibilities

Facilitate access to care for Developmental Medicine, Psychology and The Swank Autism Center, including scheduling patients at all Nemours sites of service, maximizing template utilization, managing wait lists and referral work queues to meet established metrics.

Provide daily administrative support to assigned members of the clinical team, including the Division Chief, and assist in coordinating and supporting enterprise, departmental, and divisional projects that advance the clinical, educational, and research missions of the Department of Pediatrics.

Provide daily oversight of divisional clinical schedules.

Partner with clinical teams to ensure timely follow-up care for patients to optimize schedules, access, and fill rates.

Collect, communicate, and document demographic, insurance, and/or clinical information required for patient care and revenue cycle.

Promptly and courteously manage communications to/from internal and external customers including patients, referring physicians, insurance companies; triage urgent/non‑urgent calls appropriately; ensure service excellence in all encounters.

Connect crisis calls to proper next steps including crisis resources and mobile crisis.

Utilize EPIC and Qlik reporting tools to assess schedule responsibilities.

Serve as a liaison between patient, healthcare providers, other members of the healthcare team, financial services, billing, and HIM.

Open, categorize, and distribute incoming correspondence, including mail, faxes, and scanned documents.

Maintain a physical onsite presence as required by the Division.

Proactively identify problems and opportunities related to divisional operations, and address or refer problems and ideas appropriately.

Qualifications

High School Diploma required; Associate’s or Bachelor’s degree preferred, but equivalent years’ experience will be considered.

Basic knowledge of HIPAA regulations and ability to maintain confidentiality.

Intermediate knowledge of word processing and Excel.

Excellent verbal and written communication skills.

Strong organizational and time‑management skills.

Solid conflict resolution skills and ability to work independently with minimal supervision.
