A highly respected global law firm is seeking an experienced
Office Administrator
to oversee operations across its California offices. This is a senior‑level, high‑visibility role responsible for ensuring smooth daily operations, strategic planning, staff leadership, and cross‑office coordination. The ideal candidate will bring strong law‑firm or professional‑services operations experience, exceptional communication skills, and the ability to thrive in a fast‑paced, sophisticated environment.
About the Role
The Office Administrator will serve as the operational leader for multiple California locations, partnering closely with Managing Partners and executive leadership. This person will oversee administrative teams, facilities, events, budgeting, staffing, and all day‑to‑day office functions. They will also play a key role in long‑term planning, including real estate considerations, growth projections, and office buildouts or expansions.
This role is fully on‑site and requires weekly presence in both the San Francisco and Silicon Valley offices, along with periodic travel to other California offices.
Key Responsibilities
Office Operations & Leadership
Oversee the daily operations of the San Francisco, Silicon Valley, and additional California offices.
Act as the primary liaison to office Managing Partners, keeping them informed on major operational issues and initiatives.
Lead strategic and tactical planning for office growth, staffing needs, real estate, and future space design.
Manage facilities functions including space planning, office construction/renovations, procurement, vendor management, and office moves.
Administrative Oversight
Direct support‑staff functions, including front‑of‑house, mailroom, duplicating, records, and on‑site support for attorneys and PAs.
Oversee budgeting, financial management, cost‑control initiatives, and process improvements.
Ensure compliance with firm policies, procedures, and best practices.
Lead recruitment, staffing evaluations, training, development, and performance management for administrative teams.
Oversee all office events, catering, and hospitality needs.
Manage catering contracts and vendor relationships.
Cross‑Functional Collaboration
Partner with IT, Marketing, and other internal departments to support local initiatives and operations.
Support onboarding/offboarding processes for attorneys and staff.
Provide strategic operational guidance to leaders across offices.
Qualifications
Minimum 6 years of leadership experience
in a law firm or professional services environment.
Strong business acumen and ability to navigate a complex, multinational organization.
Exceptional interpersonal, written, and verbal communication skills.
High proficiency in MS Office (Word, Excel, PowerPoint).
Ability to manage competing priorities, maintain grace under pressure, and work occasional evenings/weekends.
Demonstrated strength in relationship‑building, team leadership, and operational excellence.
