We are seeking a full‑time, hybrid Executive Assistant / Project Manager in Austin, TX who brings exceptional judgment, steadiness under pressure, and an unwavering sense of ownership. In this role, you will serve as a trusted partner to the CEO, navigating high‑priority initiatives, complex scheduling needs, cross‑functional operations, and sensitive, confidential matters with precision and maturity. Your work will directly influence the organization’s ability to scale, ensuring the CEO remains focused on the most critical priorities while key projects and teams operate with clarity and momentum.
About the Role You will work in close partnership with the CEO and senior leadership, collaborating broadly across the organization to support key priorities. You will also engage with investors, board members, consultants, healthcare providers, and other external partners, representing the company with professionalism, clarity, and discretion.
Responsibilities
Manage and protect the CEO’s calendar, ensuring priorities are maintained, conflicts are resolved, and follow‑ups are completed across teams
Arrange complex domestic and international travel, including managing last‑minute changes and handling urgent issues independently, even during off‑hours
Coordinate investor and board meetings; prepare agendas, take minutes, and organize materials with meticulous attention to detail
Lead and track cross‑functional projects; monitor timelines, deliverables, and accountability across departments
Assist with process improvements and strategic initiatives to support organizational scalability
Serve as a liaison between the CEO and internal or external stakeholders with clear, timely communication
Manage and safeguard confidential information with discretion and sound judgment
Provide occasional personal support while maintaining trust and professionalism
Create and improve organizational systems and workflows to increase efficiency
Identify and resolve problems proactively, gradually taking on decision‑making responsibilities as trust and familiarity with the executive’s preferences grow
Contribute positive energy and a steady, collaborative presence in high‑pressure or unpredictable situations
Continue learning new tools, systems, and processes to better support the CEO and the organization
Qualifications
A minimum of Associate’s degree required; Bachelor’s degree preferred.
5+ years supporting senior executives with combined experience in executive assistance and project or operations management
Experience managing competing priorities, shifting deadlines, and high‑volume demands
Advanced proficiency in Microsoft Office Suite, Zoom, Teams, and similar platforms
Biotech, pharma, or tech experience is advantageous but not required
Onsite availability in Austin, TX at least 2‑3 days a week with flexibility when CEO is onsite
Ability to travel up to 10%
