The Impact you’ll be contributing to Moloco We are searching for a professional, polished Executive Assistant to support two VPs within the Moloco Ads Organization. You will not only be their right‑hand partner but will play an integral role inside their organizations, with high visibility into day‑to‑day operations and cross‑functional work across the company. You will own all administrative, logistical, and project‑related tasks to support the organization.
We are looking for a confident, high‑performing EA who is a great communicator, highly resourceful, proactive, and has a take‑charge mindset. This person will thrive in a hyper‑growth, multi‑cultural environment supporting global teams across multiple time zones. This individual must be able to juggle fast‑changing priorities while incorporating the highest degree of integrity, discretion, professionalism, and a can‑do attitude. Our ideal candidate would be located in the Bay Area and would work out of our San Francisco Office.
Responsibilities
Provide administrative and strategic support for two VPs.
Proactively identify gaps and iterate processes to continuously improve team operations.
Manage and maintain sensitive and complex calendars across multiple global time zones; optimize executive focus and collaborate with senior leaders and other EAs.
Coordinate meeting logistics, prepare presentations for All Hands, proactively prepare agendas, and follow up on action items.
Coordinate logistics for on‑site/off‑site events, ad hoc events, and leadership meetings within budget; attend in person and oversee logistics when relevant.
Coordinate extensive international and domestic travel.
Provide general administrative support, including email management, international currency expense reporting, team drive and contact database management.
Partner internally and externally to arrange meetings with key stakeholders; ensure stakeholders are advised of deadlines.
Capture and distribute meeting notes and action items; follow up on deliverables and OKRs as needed.
Create efficient workflows and processes to maximize leaders’ time.
Potential additional support of calendar, expense, and travel management for other senior team members.
Qualifications
Experience supporting leaders, ideally at high‑growth technology companies.
Familiarity with standard corporate technology such as Google Workspace, Slack, Navan, etc., and ability to learn new applications quickly.
Experience successfully navigating the challenges of working within a multi‑timezone, international environment.
Ability to anticipate needs and complete a high volume of tasks while working independently with discretion.
Experience with meeting planning and execution.
Strong communication skills; can communicate at all levels of the organization with respect, clarity, and humility.
Excellent interpersonal skills; experience working cross‑functionally, building trust with operational partners, and optimizing communication channels and workflows.
Compensation and Benefits (United States Residents Only) Base Pay Range: $112,800—$150,000 USD. Position is classified as non‑exempt and is eligible for overtime pay. We also offer a competitive benefits package.
