Exciting opportunity alert! We’re seeking a dedicated Program Coordinator to support our academic department with administrative duties, department operations, and more. You’ll work closely with faculty, staff, and students, as well as collaborate with other programs across the MGH Institute, reporting directly to the Senior Program Manager of the Genetic Counseling department.
This position provides direct support for the academic department, including administrative duties, department operations, systems management, communications, and academic program support. This position requires significant engagement with department faculty, staff, and students as well as other programs and departments across the MGH Institute. The Program Coordinator reports to the Senior Program Manager of the Genetic Counseling department.
Qualifications
Education and Experience Qualifications
Bachelor’s degree or equivalent preferred.
1-2 years of office experience preferred.
Experience in higher education preferred.
Administrative Skills
Exceptional organizational and office systems skills
Able to prioritize, problem‑solve, and take initiative
Must be self‑motivated, resourceful, creative, and detail‑oriented
Able to work independently and effectively within a team, in a multi‑task environment
Must be able to work on several projects simultaneously and maintain responsibility for completion including accuracy and meeting deadlines
Able to handle confidential information with discretion
Must be a professional, courteous, and efficient point of contact for the department
Communication Skills
Excellent interpersonal and communications skills, including via email, virtually, and in‑person
Able to present information and data in a clear manner to individuals and groups
Technical Skills
Aptitude with MS Word, Excel, PowerPoint, Zoom, Outlook, Adobe, social media platforms
Willingness to learn new software to support departmental operations
Additional Job Details (if applicable) General Department Operations
Plan and support department operations and events as well as other duties as assigned by supervisor
Prepare general documents and templates using MS Word, Excel, Adobe and other electronic platforms
Prepare, record, and distribute agendas and minutes for assigned meetings and committees, and communicate, follow up, and take responsibility for implementation of action items
Organize and maintain relevant department databases and electronic filing systems
Schedule space for meetings and events
Coordinate support from IT and Campus Services
Order supplies and other materials for the department
Perform general clerical duties
Provide backup support to Program Manager as needed
Academic Program Support
Collaborate with the Program Manager and department leadership in the planning and execution of departmental events, conferences, and graduation ceremonies
Book student accommodations space, prepare exam supplies, support faculty, and serve as an exam proctor
Collaborate with the library for reserve copies of books, assessments, and other course‑related materials
Support the maintenance of and data collection for the EXAAT database
Assist the Program Manager and Director of Clinical Education (DCE) with operations of both internal and external clinical education to include scheduling, tracking of completed documentation, monitoring of student requirements (e.g. CPR, immunizations, etc.), and other duties as needed
Maintain accreditation documents and support site visits as needed
Coordinate documentation and submission of adjunct faculty appointments as needed
Support the Program Manager in duties related to the annual graduate admissions process
Assist with clinical education outcomes evaluation, alumni data, and other evaluative data sets as needed
Provide administrative support and leadership for select department committees and special projects
Communication
Provide exemplary support to internal and external constituencies, triage inquiries to the appropriate parties, and/or independently research answers to inquiries
Support the marketing and promotional efforts of the department to include posting and maintenance of the department social media accounts, review and updating of the department website for accuracy, etc.
Participate on the GC Dept Marketing & Social Media Committee
Participate on the GC Dept Alumni Engagement Committee
Ensure that adjunct and FTE faculty have updated profiles and contact information on our website
