Position Summary

Provides advanced confidential administrative support for Supervisor(s), Manager(s), Director(s) and/or applicable department(s) or direct service program(s). Has access to protected healthcare information (PHI) or confidential identifiable information (CII), both paper and electronic, as necessary, to perform related job duties and responsibilities.

Essential Functions

This role is the first point of contact as families enter the center and should create a welcoming environment and provide service excellence in checking families in and out of the facility

Interfaces with internal/external contacts requiring considerable discretion and initiative

Provides advanced word/data processing and spreadsheet support, including graphics and presentation software

Provides general administrative support, which may include, but not limited to:

Enrollment screening and waiting list tracking

Responding to routine correspondence and screening telephone calls

Coordinating schedules and travel arrangements

Maintaining confidential files and records

Supporting committee(s)

May assist with coordination of volunteers, including recruiting volunteers, and assigning duties

Provides leadership in a variety of areas and may lead employees and volunteers, as requested

May coordinate and/or research background material and collect data for reports, grant proposals, speeches and correspondence

May carry out assignments relating to meetings, committee activities and/or funding

May be responsible for compliance with licensing and regulatory requirements

May provide information and referral support, maintain resource lists, and minimal case management for program participants

May coordinate schedules and/or facilitate workshops, classes, special event, and other activities for an Akin direct service program

Provides leadership and direction with other activities/duties, as requested

Inputting & tracking data using various software programs

Assists with finance and billing

Purchase and track supplies

Performs other duties as assigned

Knowledge, Skills, And Abilities

Demonstrated leadership skills reflected in progressive administrative service responsibilities

Advanced knowledge of office procedures and efficiency with computer software MS Office, including the ability to write clear and grammatically correct letters, memos and reports

Demonstrated ability to work independently, organize and prioritize individual and departmental responsibilities

Ability to work effectively under pressure, demonstrates initiative and resourcefulness, exercise good judgment and discretion

Knowledge of, and experience with, human service organizations

Familiarity with or interest in the principles of accessibility, inclusion, and belonging; and experience working successfully with colleagues, clients, or communities from a variety of backgrounds.

Demonstrated openness to learning and contributing to an inclusive workplace environment.

Working Environment This job is performed in an Early Learning Center. The following list is representative of the work environment employees encounter while performing the essential functions of this job:

Moderate noise (i.e. business office and classroom settings with computers, printers, phones)

Typical office and classroom lighting and temperatures

Moderate interruptions

Ability to work in a confined area

Ability to sit at a computer for an extended period

Limited travel to other site locations within the state

Ability to work rotating schedule for duration of center operating hours

Physical Demands

While performing the essential duties of this job, the employee is regularly required to stand, sit, talk, hear, and use hands and fingers to operate a computer and telephone keyboard; occasionally to reach, stoop and kneel

Specific vision abilities required by this job include close vision requirements due to computer work.

Regular, predictable attendance is required.

Minimum Qualifications

Three to five years of related work experience preferred or, any equivalent combination of education, experience and training that provides the required knowledge, skills, and abilities to be able to perform the duties and responsibilities.

Proof of physical exam within past 12 months (updated every three years).

One‑step Mantoux TB skin test prior to start of employment, unless has written proof of a negative test within past 12 months. For those who have previously tested positive, documented proof of treatment from a doctor or a negative chest x‑ray must be provided.

Proof of MMR vaccine or positive MMR titer.

Completion of Akin and DCYF criminal history background check, including registry with MERIT to include fingerprinting.

A valid driver's license and a favorable driving record, with no more than three violations within the past three years.

Required Within 30 Days Of Hire

CPR and Pediatric First Aid certification

HIV/AIDS and Bloodborne pathogen training

Food Handler’s Permit

Other assigned trainings.

Preferred Qualifications

Business or related coursework.

Language skills: Spanish, Amharic, Arabic, Dari, Somali.

The target starting pay for this position is $23.69 - $27.84 per hour, typically within the first half of the range. Actual offers will be based on individual qualifications relevant to the role and will not take an applicant’s pay history into account.

The range above allows our employees room for growth during their tenure in the position.
