Responsible for monitoring multiple medium‑to‑large‑scale project activities, managing documentation, and facilitating communication among team members to ensure the successful execution of projects. Tracks and ensures that the schedule, budget, and details of project tasks are well‑organized. Analyzes data, prepares reports, and provides regular updates to the project team. Identifies and escalates issues and risks and recommends solutions. Leads and provides guidance and support to other administrative team members.
Key Responsibilities
Take the lead in maintaining and monitoring multiple project plans, schedules, work hours, budgets, and expenditures.
Organize, attend, and participate in stakeholder meetings.
Ensure projects adhere to frameworks and all documentation is maintained appropriately for each project.
Assess and escrow project risks and issues, providing solutions.
Conduct research, maintain and analyze data in systems, and develop reports to support projects.
Liaise with the project team and key stakeholders to help define project requirements, scope, and objectives that align with organizational goals.
Assign and monitor resources effectively to boost project efficiency and maximize deliverables.
Qualifications
Bachelor's Degree
is required.
Project management or project support experience
1‑2 years is required.
Ability to prioritize, delegate, and manage multiple projects and responsibilities simultaneously and with limited supervision.
Ability to work in a fast‑paced environment with various leaders.
Strong oral and written communication skills.
Strong time management skills.
Ability to change work schedule as needed.
Some weekends are required in this role.
This position supports the BWH Anesthesiology Residency Program.
Role Specific Responsibilities Resident Compliance
Monitors all ACGME compliance audits (case log and evaluations) for CA‑1 to CA‑3 residents.
Manages all New Innovation needs throughout the academic year and the transition of the new academic year.
Works with the Faculty Development Team to monitor the faculty completion rate of resident evaluations.
Direct oversight of CA‑1 AMIGO training and tracking of the training.
Resident Schedules
Monitors all CA‑1 to CA‑3 rotation schedule changes in Qgenda based on changes from the Assistant Program Director.
Direct oversight of all credentialing and onboarding of rotations at BCH, Lahey and MEE.
Processes all international paperwork for resident rotations.
Resident Contracts
Direct oversight of resident contract renewals.
Director oversight of resident moonlighting tracking mechanisms.
Annual and Miscellaneous Tasks
Processes verifications and provides notary services.
Collaborates with AMC Administrative Director and Program Managers on residency recruitment and graduation activities.
Collaborates with Program Manager on any annual onboarding needs to transition the academic year.
Collaborates with Program Manager on PGY‑1 and CA‑1 onboarding needs.
Provides office coverage as needed.
