Offer Letters:
Draft, finalize, and distribute offer letters for new hires.
Onboarding Process:
Conduct comprehensive HR orientation sessions for all new employees.
Immersion Planning:
Develop and coordinate new hire immersion plans to ensure a successful transition into the team.
Documentation:
Create and maintain accurate internal employee folders and files.
Tracking:
Maintain detailed trackers for new hires, including status, start dates, and required documentation.
Background Checks:
Coordinate and manage the background check process, ensuring timely completion and compliance.
HR Projects and Compliance
EOR/PEO Transition:
Assist with the administrative requirements related to transitioning our employment model from an Employer of Record (EOR) to a Professional Employer Organization (PEO).
Compliance:
Assist in ensuring the company adheres to all relevant labor laws and internal policies.
Anti-Harassment Tracking:
Maintain and regularly audit anti-harassment training records and trackers to ensure mandatory compliance.
Invoicing:
Triage and process invoices from external recruitment vendors.
Payroll and Compensation Support
Payroll Assistance:
Review and assist with payroll processing, ensuring accuracy in conjunction with the finance team and PEO/EOR partner.
Recruitment and Team Coordination
Recruitment Support:
Provide active assistance with recruitment efforts, including job posting and candidate sourcing.
Interview Coordination:
Utilize the Lever ATS system to schedule and coordinate candidate interviews across various teams.
Intern Program:
Manage the full lifecycle of intern hires, from recruitment to offboarding.
Internal Trackers:
Maintain and update the internal recruiting tracker.
Team Member Tracking:
Keep an accurate and up-to-date tracking record of all members within the team.
Requirements
Proven experience in an HR administrative or coordinator role.
Exceptional organizational skills and a meticulous attention to detail.
Strong verbal and written communication skills.
Proficiency with Microsoft Office Suite (Word, Excel) or Google Workspace.
Ability to handle sensitive and confidential information with discretion.
