Stillwater Sciences seeks an experienced
Controller
to join our accounting group in our
Berkeley
or
Sacramento
office. In the role of Controller, you will have a wide variety of responsibilities consistent with a small‑to‑mid‑size consulting firm. The accounting group is segmented into financial accounting and project accounting functions. You will report directly to the Director of Business Operations and will be responsible for directly managing the financial accounting team, while fully supporting interfaces with Project Accounting.
Responsibilities
Lead the Financial Accounting team.
Manage the monthly accounting cycle, checklist and calendar.
Perform month‑end close procedures.
Monitor bank and investment account activity.
Maintain accounting for a joint venture.
Financial Reporting
Prepare profitability estimates (weekly), financial statements (monthly, quarterly, annually), board reports (quarterly, annually) and other internal accounting reports.
Provide financial reports and data to external collaborators.
Planning Support and Reporting
Perform weekly cash analysis.
Assist the Director of Business Operations and CEO with cash flow projections, budgeting, financial forecasts, and ESOP‑related expense estimates.
Compliance
Provide information for income tax reporting, tax planning, FAR audits, census requirements, and contract compliance; interface with support firms.
Prepare and submit various business tax forms and complete annual 1099 reporting.
Revenue Recognition
Ensure revenue is GAAP‑compliant for Time and Materials, Fixed Fee instruments.
Provide reports for reconciling unbilled and revenue recognition.
Payroll Processing Support
Conduct payroll general ledger entries and monthly job cost variance entries and reconciliation.
Back‑up payroll as needed and work with payroll specialist on quarterly differential pay.
Training, Oversight, and Support
Provide training/mentoring and participate in annual reviews for the financial accounting team.
Data Integrity and Quality Assurance
Assist with management of the ERP system (Deltek Vantagepoint).
Ensure accounting documentation is complete and meets company standards.
Ensure quality assurance procedures (review lessons learned, proper period recording, transaction cut‑off controls, electronic records, workpaper standards).
Procedures & Process Improvement
Periodic review, testing, and updating or creating documentation.
Work with the Director of Business Operations and the IT Manager to implement automated workflows in Deltek Vantagepoint.
Experience, Education, and Knowledge Requirements
10+ years of accounting experience with at least 3 years in Controller or equivalent role.
Bachelor’s degree in Accounting, Business Administration, Finance, or related discipline.
CPA or CMA preferred but not required.
Experience with payroll, accounts payable and accounts receivable processes.
Experience with compliance (income tax, business tax, use tax, US Census, US government contracting compliance reporting, or similar).
Strong knowledge of GAAP, management accounting principles, internal controls, and financial reporting.
Knowledge of Deltek Vantagepoint or similar ERP used for project/management accounting.
Knowledge of financial concepts, practices, and procedures in the AEC industry.
Comprehensive understanding of standard commercial contracting terms.
Intermediate to advanced MS Excel, Word, Outlook, and Adobe Acrobat skills.
Compensation and Application Details
Full‑time (40 hrs/week) position with benefits, located in Berkeley or Sacramento.
Hybrid role (3+ days/week in office), beginning with 5 days/week in office for the first three months.
Annual salary $110,000–$150,000, commensurate with qualifications and experience.
Bonus/Commission: No.
