The Legal Billing and Collections Specialist is responsible for overseeing full‑cycle billing and collections while delivering exceptional support to attorneys, clients, and internal teams. This role is ideal for a proactive self‑starter who thrives in a fast‑paced environment, excels at problem‑solving, and can manage projects independently. The position requires a strong commitment to accuracy, customer service, and collaboration.

Key Responsibilities

Generate and distribute monthly pre‑bills, ensuring correct billing rates.

Review, edit, and finalize client invoices.

Prepare and process write‑off requests for approval as needed.

Gather and attach expense documentation to invoices.

Distribute invoices via mail, scan, or e‑billing platforms.

Process revised invoices at attorney or client request.

Review client contracts for billing guidelines and maintain records in Excel.

Update and track client budgets within the billing system.

Make time entry adjustments as requested by timekeepers.

Calculate and prepare annual rate increases for assigned clients.

Provide timely responses to inquiries from attorneys, staff, and clients.

Prepare daily deposits and post cash receipts, including scanning and filing.

Support team members with billing tasks as needed.

Manage and prioritize multiple projects effectively under deadlines.

Maintain electronic filing of client‑matter documentation.

Collaborate with attorneys on collections and communicate with clients as needed.

Monitor and track accounts receivable to ensure collection goals are achieved.

Perform other duties as assigned and work overtime when necessary.

Qualifications

Minimum 3 years of experience as a Legal Billing Specialist using billing software.

Strong proficiency in MS Office Suite (especially Excel) and ability to optimize processes through technology.

Ability to uphold strict confidentiality and ethical standards.

Strong organizational skills to handle multiple priorities under time constraints.

Excellent written and verbal communication skills.

Strong interpersonal skills for effective interaction with attorneys, staff, and vendors.
