Executive Administrative Assistant
TriWest Healthcare Alliance is hiring an executive administrative assistant to support the Office of the President and CEO and core leadership team (CLT) members.
Job Summary
Provide executive-level admin support, project management, and confidential assistance for CEO, CLT and external constituents while maintaining professionalism and discretion.
Qualifications
- High school diploma or G.E.D. (required)
- 10+ years executive administrative support experience, with at least five years at the C‑suite or equivalent
- Strong judgment, initiative, and ability to reprioritize work and schedules
- Excellent organization, detail orientation, and communication skills
- Advanced technical aptitude (VPN, Zoom, Microsoft 365, DocuSign)
- Experience managing complex Outlook calendars, travel, and expense reports
- Experience with event planning, including Board meetings
Preferred:
- Bachelor’s degree in Business or related field
- Healthcare environment experience
- Knowledge of government programs (TRICARE, VA, Military Health System)
- Military service a plus
- Prior experience in a high‑profile setting a plus
Key Responsibilities
- Manage administrative needs of Office of the President/CEO and CLT: scheduling, travel, calendars, meetings, expense reports, files.
- Coordinate travel itineraries, including flights, hotels, ground transport, and expense logs.
- Screen calls, greet visitors, handle correspondence and special requests.
- Prepare business and personal correspondence, including notes for special occasions.
- Assist with special projects and written communications.
- Maintain effective communication with the Assistant to the President/CEO.
- Conduct research, prepare summaries and reports.
- Ensure office supplies and equipment functioning.
- Coordinate onboarding of new Executive members or consultants.
- Serve as liaison for Office or CLT objectives.
- Perform other duties as assigned and maintain reliable attendance.

Working Conditions
