Location Central‑42 West Madison Street (Counseling & Postsecondary Advising)
Estimated Annual Salary Range 18.00 - 18.00
Job Summary The part‑time/Temporary TRIO Talent Search Database Coordinator has the primary responsibility of effectively supporting the database needs of the Talent Search Manager and the schools supported by the Federal TRIO grant Talent Search Program. The Talent Search program identifies and assists individuals from disadvantaged backgrounds who have the potential to succeed in higher education. Talent Search also encourages persons who have not completed secondary or postsecondary programs to enter or re‑enter and complete postsecondary education. This part‑time/temporary position will be compensated for time worked on an hourly basis. The work schedule for this role will consist of an estimated 24 hours per week for an anticipated period of 12 months, beginning January 2026 and ending November 2026. Due to the part‑time/temporary nature of this work, this is not a benefit‑eligible position. This role will report to the Program Manager of Talent Search TRIO within OSCPA.
Responsibilities
Updating and maintaining Trio TS database participant records and program administrative records.
Ensure all data entry is accurate, timely, and compliant with Department of Education standards.
Perform regular data audits to identify missing or inconsistent information.
Collecting all recruitment documents and confirming complete records.
Verify eligibility documentation for new applicants.
Organise physical and digital files to ensure they are audit‑ready at all times.
Attending field trips as needed.
Other duties as assigned.
Qualifications Education Required
High school diploma or GED equivalent.
Associate’s or Bachelor’s Degree in a related field is preferred; OR current college student actively seeking a Bachelor’s Degree is preferred.
Experience Required
Minimum of one (1) year of experience in data entry, database management, or administrative support.
Experience working with federal grants or educational programs is highly preferred.
Knowledge, Skills, and Abilities
Effective oral and written communication skills to interact clearly with staff, students, and external partners.
Strong organization and filing skills; ability to maintain order across both physical and digital record‑keeping systems.
Proficiency in the use of office technology and office productivity software (e.g., Microsoft Office Suite, Google Workspace, database management tools).
Self‑motivated with the ability to work independently on data tasks.
A team player capable of working cooperatively with program staff to achieve grant goals.
Conditions of Employment As a condition of employment with the Chicago Public Schools (CPS), employees are required to:
Establish/Maintain Chicago Residency – employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency throughout their employment with the district. The Chicago residency requirement does not apply to temporary/part‑time positions; however, all CPS employees must be residents of Illinois.
