Position Summary Under the direction of the Outpatient Pharmacy Supply Chain Manager and Supervisor and in accordance with department policies, procedures, and guidelines, the individual supports all aspects of inventory management for outpatient, retail, mail order pharmacy pharmaceuticals, DMEPOS, and maintenance of pharmacy medication and associated supplies. Responsibilities include receiving daily medication orders from vendors, monitoring inventory levels, rotating stock, effectively utilizing return processes to secure proper credit from drug wholesalers, as well as complying with DSCSA and other regulatory requirements.

Essential Responsibilities / Duties

Validate and process daily medication shipments by reviewing for accuracy, ensuring proper storage conditions, and reconciling within vendor systems.

Facilitate medication inventory management, ensuring drugs are within date, rotating inventory as necessary, and maintaining USP guideline compliance.

Maintain all medication shelves and storage areas in a clean, organized, and orderly fashion.

Process all drug returns promptly and appropriately within the management system.

Adjust inventory levels as needed when returns are processed.

Ensure packaged returns meet manufacturers and wholesaler shipping requirements.

Review invoices to reconcile credits processed.

Maintain compliance with DSCSA requirements related to order receiving, exception handling, transfer of inventory, and returns to vendors.

Responsible for SFTP transmissions and EDI files (importing and exporting drug inventory files) and verifying successful transmission.

Identify faults in EDI transmissions and alert management to discuss a plan of correction.

Identify affected medication recalls, reconcile inventory to maintain compliance, and report to required regulatory and supervisory personnel.

Make sound decisions and conduct follow‑up calls for problematic medication deliveries to the facility.

Track dropship medications throughout the health system and maintain supporting documentation (e.g., packing slips).

Report any incorrect shipments and other safety issues to the supervisor immediately.

Perform cycle counts of inventory on a regular basis to investigate and rectify discrepancies.

Execute returns of expired non‑controlled medications via the reverse distributor.

Remain informed by reading all department communications.

Maintain records of daily transaction documents and process appropriate paperwork for transferring medication and supplies between pharmacies.

Ensure assigned tasks are accurate and reviewed by supervising personnel as needed.

Perform all department‑required quality assurance responsibilities.

Adhere to department and hospital standards, including:

Exhibiting model AIDET behaviors.

Providing courteous, customer‑focused interactions with patients, visitors, physicians, and employees.

Maintaining strict confidentiality of personal/health‑sensitive information.

Anticipating and responding to service needs of pharmacists.

Utilizing hospital behavioral standards as the basis for decision making.

Perform other related tasks as needed.

Adhere to BMC’s RESPECT behavioral standards.

Education / Qualifications

High school diploma or equivalent; strong mathematical skills required.

Preferred: Some college, associate’s or bachelor’s degree.

Certificates, Licenses, Registrations Required

Registration as a Pharmacy Technician with the Massachusetts Board of Pharmacy.

National pharmacy technician certification from either PTCB or exCPT.

Experience

At least 3‑4 years of related experience (shipping, receiving, material handling, inventory or pharmacy experience preferred).

Knowledge and Skills

Ability to speak English, read, interpret and follow detailed verbal and written instructions.

Capability to work independently and accomplish daily tasks on time.

Familiarity with 340B and WAC ordering and dispensing.

Experience with QS1 – NRX or similar outpatient pharmacy operating system.

Experience with Arxium, Parata, ScriptPro or similar medication automation systems.

Strong interpersonal skills to interact appropriately with nursing staff, patients, families/visitors, physicians, and hospital staff.

Strong analytical and mathematical skills.

Ability to multitask, prioritize tasks and meet deadlines.

Proficiency with Microsoft Office; Excel, Word; and ability to adapt to specialized inventory/stock control software.

Adaptability to changes in schedule specifications and work priorities.

Physical ability to lift heavy loads as required.

Maintain required competency level to perform essential duties and responsibilities.

Compensation Range $18.99 – $26.68 per hour (estimated based on experience and qualifications).
