Job Description Summary University Advancement (UA) seeks a Project Coordinator for the Office of the Vice President (OVP). The role supports UA’s alumni and fundraising efforts and coordinates engagement of university leadership with donors and alumni.
Job Responsibilities
Manage division’s requests for leadership participation in events and meetings.
Assist in creating and managing briefing materials, proposals, reports, and correspondence.
Coordinate internal meeting and event logistics, including facilities, catering, material distribution, and minutes.
Provide external event support, track RSVPs, and assist with executive follow‑up.
Track activity related to the Vice President’s portfolio, ensuring timely follow‑up.
Update fundraising moves in database on behalf of the Vice President.
Help plan travel for the President and Vice President.
Support OVP offices with meeting, calendar logistics, reporting, analysis, and data upkeep; manage University Advancement wide calendars.
Provide administrative support to other UA areas as needed.
Perform other related duties as assigned.
Minimum Qualifications
High school diploma/GED plus 3 years of relevant professional experience, or a bachelor’s degree or higher in a relevant field (degree must be conferred by start date).
Equivalency of education and experience considered.
Preferred Qualifications
At least one year of professional experience, preferably in development or academic setting.
Demonstrated ability to plan, organize, and manage multiple projects simultaneously; make timely decisions and meet deadlines in a dynamic environment.
Aptitude for developing and streamlining processes for efficiency; exceptional writing and editing skills.
Familiarity with standard university protocol and processes; strong understanding of event and meeting planning.
Hiring Range $26.17 - $34.04 per hour
