Directors/Associate

Deans, ensuring the smooth functioning of day-to-day activities and strategic initiatives. This position plays a key role in managing budgets, coordinating events, supporting personnel processes, and overseeing essential College operations. The ideal candidate is highly collaborative, organized, proactive, and capable of handling confidential matters with professionalism and discretion. Responsibilities Provide high-level administrative support to the Dean of the College of Arts and Sciences, and as needed, to Associate Deans. Coordinate logistics for College meetings and events as directed by the Dean, including venue reservations, agenda preparation, catering, audiovisual setup, and day-of event execution to ensure seamless operations. Manage the submission of expense reimbursements, including P-Card reconciliations, scanning and organizing receipts, assigning appropriate general ledger codes, and preparing check requests and vouchers. Assist with budget planning, monitoring, and management, ensuring expenditures align with approved budget parameters and institutional policies. Support day-to-day operations of the College, including ordering instructional materials and supplies, and coordinating College-wide administrative activities. Advance assigned projects to completion in collaboration with the Dean, ensuring timely progress and alignment with strategic priorities. Maintain organized repositories for key College documents, including the collection and archiving of workload sheets, course syllabi, and other academic records. Provide support for staffing processes, working with the Dean, Associate Deans, and Department Chairs on recruitment, onboarding, and offboarding of College personnel as appropriate. Coordinate candidate interview logistics, including scheduling, travel arrangements, reimbursement processing, and serving as host for on-campus visits. Assist with the preparation of annual reports, accreditation materials, assessments, and other periodic reporting requirements. Collaborate closely with other operations managers or those in similar positions in SMAT, elsewhere in CAS, or otherwise at North Park University. Supervise and mentor student employees to support the administrative functions of the College. Perform other duties relevant to the College of Arts and Sciences assigned by the Dean. Requirements Bachelor’s degree. 3–5 years of professional experience in administrative or operational support, preferably in a higher education setting. Demonstrated experience managing complex schedules, coordinating meetings, and providing executive-level administrative support. Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and the ability to learn other systems quickly (e.g., ERP, budget tracking tools, academic systems). Polished written and verbal communication skills, proven organizational skills and attention to detail, with the ability to prioritize and manage multiple projects and deadlines. Demonstrated ability to handle confidential information with discretion and maintain professional integrity. Ability to work collaboratively and independently in a fast-paced and dynamic environment. Experience in event planning or coordination for meetings, retreats, or special initiatives. Personal commitment to North Park’s mission of Christian higher education. Desired: Five or more years of progressively responsible administrative or operational experience, ideally in a higher education environment. Familiarity with academic structures, policies, and administrative procedures within colleges or universities.
