ORGANIZATIONAL PROFILE
SRBX is a 501(c)6 trade association representing the commercial construction industry with nearly 1,100 member companies. It is one of the oldest and largest membership organizations in the Sacramento region. CIEF is a 501(c)3 organization working to empower youth to pursue careers in the built environment. In 2024, CIEF served nearly 15,000 high school students across five states. CIEF operates a chapter model and has secondary offices in Irvine, California, and Dallas, Texas. The joint organizations serve nearly 25,000 people annually through workforce, business development, and networking events, along with providing an online plan room, education and safety training, and government advocacy. Each organization has a budget exceeding $2 million and their own boards of directors. SRBX and CIEF employ 20 full-time staff.
ROLE
The Sacramento Regional Builders Exchange (SRBX) and Construction Industry Education Foundation (CIEF) are seeking an experienced Executive Assistant to join their team. The ideal candidate will have at least three years of experience in an executive or administrative role supporting upper management, with a strong understanding of executive communication, scheduling, and special projects. This is a full-time position based in Sacramento, California, reporting directly to the CEO.
ESSENTIAL DUTIES & RESPONSIBILITIES
Support the CEO primarily, with additional support to other executive team members as needed
Act as a liaison to the boards of directors, including attending meetings and events, preparing agendas, and taking minutes
Manage the CEO's professional and personal schedules, resolving conflicts as they arise
Screen incoming emails, phone calls, and social media messages, responding or redirecting as appropriate
Draft and prepare correspondence for internal and external stakeholders involved with the CEO
Coordinate complex scheduling, calendar management, and communication with members and donors
Arrange travel logistics, including accommodations, transportation, meals, and expense reporting
Prepare documents such as Word, Excel, PowerPoint presentations, agendas, reports, and research materials
Provide general administrative support, including managing phone calls, contact logs, mailings, and emails
Handle sensitive information with confidentiality and discretion
Represent the organization and CEO professionally, demonstrating strong follow-through and sound judgment
Perform special projects and other duties as assigned
Attend and support organizational events, which may occasionally require evening or early morning hours
QUALIFICATIONS
At least three years of experience in an executive or administrative role supporting upper management, preferably at the C-suite level
Service-oriented with a focus on meeting the expectations of the CEO and senior executives, maintaining effective relationships
Excellent written and verbal communication skills
Strong organizational and time-management skills, capable of handling multiple projects simultaneously
Proficiency with office productivity tools and a quick learner of new software and systems
Experience with association management or customer relationship management systems is preferred but not required
Flexible team player, adaptable to change, and proactive in a dynamic, entrepreneurial environment
Problem-solving skills and initiative
Ability to maintain confidentiality regarding organizational and employee information
