Job Description Job Description Position Summary : We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our Chief Financial Officer (CFO) and Chief Technology Officer (CTO) . This individual will play a critical role in ensuring the smooth operation of their daily schedules and strategic priorities. The ideal candidate is detail-oriented, resourceful, and capable of handling a wide range of executive and project-level tasks with discretion and professionalism. Responsibilities & Duties : Executive Support Provide high-level administrative support to the CFO and CTO, including : Managing and coordinating complex calendars, meetings, and appointments Planning and booking domestic and international travel Preparing and processing expense reports and invoices Drafting and editing correspondence, reports, and PowerPoint presentations Handling a variety of other administrative tasks as needed Project & Event Coordination Support cross-functional initiatives including : Assisting with investor relations and corporate communications Coordinating logistics and materials for internal and external events, meetings, and conferences Executive Office Backup Serve as backup administrative support for the Chief Executive Officer (CEO) and President , including : Managing calendars and scheduling meetings Coordinating complex travel itineraries Preparing expense documentation and reimbursements Works closely with the Office Manager and provides back up support related to managing the Mill Valley office when needed Required Experience & Education : Minimum of 5 years of experience supporting senior-level executives in a fast-paced, dynamic environment Proven ability to manage multiple high-level priorities with discretion, confidentiality, and efficiency Exceptional written, verbal, and interpersonal communication skills Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); tech-savvy and quick to learn new tools Excellent organizational skills and attention to detail Calm under pressure and adept at resolving issues with a positive, solution-focused attitude Strong customer service mindset and a proactive, team-oriented approach Bachelor’s degree preferred; equivalent work experience will be considered A reasonable estimate of the total compensation range for this role is $100,000-$130,000. The actual salary offer to the successful candidate will be based on job-related education, geographic location, training, licensure and certification, and other factors.
