Discover your opportunities at Yale! Hourly Range 31.05 Overview The Events Specialist provides high level support as a member of the Office of Inclusion and Diversity (OID). This person will assist with coordinating events for the office for internal and external audiences and will provide administrative support across all department initiatives. This role reports to the Inclusion and Diversity Leader and requires close partnership with colleagues and current Yale SOM students. Coordinate event planning and logistics for OID events, virtually and/or in-person. Serve as a welcoming face for attendees, organize event schedule, location logistics, catering, survey administration and other services needed. Coordinate travel reimbursements and payment of external and internal providers to ensure all expenses are accounted for and the events run smoothly. Support student affinity groups with their event planning needs. Engage directly with students to support them in implementing their programming and initiatives. Using relevant university systems and other reporting tools, oversee OID’s expenses and other relevant information for events, including tracking expenses for individual events; vendor set-up, travel booking, and arranging payment for supplies and services; following up with vendors, staff, and other offices as needed; generating reports on expenditures. Provide customer service support to community members visiting the department. Complete other tasks as assigned. Required Skills and Abilities 1. Excellent computer skills in Windows and Microsoft products, Word, (including merges) advanced Excel (or equivalent database) Outlook (Calendar), and PowerPoint. Very strong detail orientation.2. Exceptional interpersonal skills and customer service skills with ability to represent the university professionally. Contributes ideas and consistently contributes to improve all processes for team.3. Strong oral and written communication skills. Absolute discretion with confidential information and materials.4. Strong independent judgment and capacity to take initiative in a “multitasking” environment with minimal supervision. Ability to relate comfortably and knowledgeably with a wide range of individuals in high-level academic and/or professional positions.5. Ability to adapt to changing work environment and responsibilities. Preferred Education, Experience and Skills Bachelor’s degree. Working knowledge of Yale policies and procedures. Experience working across diverse constituencies; passion for Diversity, Equity, and Inclusion.

Principal Responsibilities 1. Oversees and coordinates administrative, program, and office activities. Establishes, selects, implements, and coordinates office procedures and systems. Serves as principal source of information to students, staff, and faculty on policies, procedures, programs, and office activities. 2. Oversees, instructs, and coordinates activities of support staff. Oversees the preparation of materials for grants, contracts and budgets. Monitors expenditures and reconciles financial statements. 3. Provides editorial support for a journal/publication. Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work. 4. Determines administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences. Assembles and arranges for necessary items. Determines sources of data. Compiles, synthesizes and manipulates data. Summarizes findings and writes reports or portions of reports. 5. Greets visitors. Answers and screens telephone calls. Assesses nature of business. Responds to requests for information and provides assistance. Screens and responds to mail. 6. Formats, keyboard, proofread, and edits correspondence, reports, manuscripts, grants, and other material. Assembles attachments and corresponding material. Reviews outgoing material for completeness, dates, and signatures. Composes substantive correspondence and written material. 7. Coordinates travel arrangements. Schedules and coordinates meetings and appointments. Orders and maintains inventory of supplies. Takes minutes or dictation. Performs additional functions incidental to office activities. Required Education and Experience Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.
