JOB TITLE: Program Assistant DEPARTMENT: Coachman Family CenterFLSA: Non-Exempt

REPORTS TO: Program Director LOCATION: White Plains, NY SALARY: $38000.00 - $40000.00/annual

SUMMARY:

Responsible for maintaining professional communications to DSS, administrative staff, casework staff, facilities staff, security staff and residents.

DUTIES & RESPONSIBILITIES: Ensures accessibility to admin and case work staff by continuous knowledge of their whereabouts Ensures that all forwarded phone calls are answered during the hours 9-5 Ensures that reception is staffed at all times Monday through Friday 9 am to 5 pm Ensures that the Westhab and DSS client databases are kept current on a daily basis Greets all residents reporting to administration and directs them appropriately Monitors resident use of computers, phones and access to administration area Maintains accurate records, prepares reports and facilitates the flow of necessary paperwork throughout the facility. Ensures all correspondence is handled appropriately Assists with ordering office supplies and maintaining office inventory Provides administrative support to facilities staff as directed Coordinates donation deliveries, maintains donation “wish list” of needed items Other duties as assigned

EXPERIENCE, EDUCATION AND SPECIAL REQUIREMENTS: Associates degree with 2+ years in an administrative program support role in a shelter preferred. Requires strong verbal, written and computer skills. Must have good customer service skills and the ability to multi task while remaining focused. Fluency in Spanish is highly desirable.
