The Administrative Assistant will provide support to the Dental Director Office’s day to day operations including scheduling appointments, screening callers, preparing materials for executive meetings, taking dictation, and maintaining executive files. Experience: Minimum 2 years prior experience as an Administrative Assistant. Dental terminology and knowledge preferred. Demonstrated ability to maintain confidentiality Skill in performing a variety of duties, often changing from one task to another of a different nature, and under stress of frequent interruptions and/or distractions. Ability to set priorities to complete work in a timely manner. Ability to adapt to frequent changes in fluctuating workload. Advanced knowledge of Microsoft Word, Excel, and PowerPoint; Ability to write and edit grammatically correct business correspondence and reports Professional verbal and written communication skills and the ability to type 50 wpm. Licensure/Certification: Business Office Administrative (Preferred) Responsibilities: Performs a combination, but not necessarily all, of the following duties: Scheduling meetings, coordinating events/visits and making travel arrangements; processing reimbursements and purchase orders Assisting with the renewal of CME and

licensing/certification Assisting with the coordination of staff recruitment, onboarding, and off-boarding Reads and routes incoming mail. Composes and types routine correspondence. Organizes and maintains file system, and files correspondence and other records. Scans documents and distribute to pertaining departments. Answers and screens telephone calls, and arranges conference calls. Greets scheduled visitors and conducts to appropriate area or person. Prepares outgoing mail and correspondence, including e-mail and faxes. Orders and maintains supplies, and arranges for equipment maintenance. Prepare expense reports. Process requisitions for purchase order and place orders for the dental director as needed. Prepares dental staff schedules and other reports as needed Prepares time cards for approval. Researches and creates presentations Handles multiple project at the same time Assists with inventory Handles sensitive information in a confidential manner Receives all Dental Referral calls and assign them to Dental Coordinators Assist in scheduling patient’s dental appointment as necessary Performs other duties as assigned.
