Executive Assistant to General Partner at Collaborative VC Firm

Venture capital firm investing in transformative companies across healthcare, fintech, and security is looking for an Executive Assistant to support a new General Partner. This is an exciting chance to join a collaborative team that truly values its admin team as strategic partners. In this role, you’ll be a strategic partner to your GP, owning calendar management, running meetings end‑to‑end, managing the CRM with meticulous pipeline tracking and data entry, partnering with the GP on quarterly initiatives and OKRs, owning the GP’s task list and driving tasks to completion, and planning high‑touch dinners and meetings.
You will also provide support to the Head of IR during fundraising next year. Someone hardworking with the ability to be a strategic partner who is extremely detail‑oriented and process‑driven, self‑sufficient, and can easily context‑switch. Must have previous experience at a venture firm and a deep understanding of the venture ecosystem. This is a hybrid role based in Jackson Square in SF, 3 days/week in‑office. 140‑155K+ DOE + premium benefits with coverage for dependents too, 401k, generous paid time off, and commuter/parking benefits depending on your commute.
Responsibilities
Provide support to the General Partner and Head of IR.
Proactively manage calendars and scheduling, strategically allocating time for maximum impact.
Own the General Partners task list, driving all tasks to completion with accountability and follow‑through.
Run meetings end‑to‑end—build agendas, conduct pre‑work by reaching out to all stakeholders to gather priorities, facilitate the meeting, and project manage all deliverables and action items post‑meeting. Check in regularly with team members on progress and ensure nothing falls through the cracks.
Provide meeting support, taking detailed, actionable notes that capture key decisions and next steps.
Manage the CRM with meticulous attention to detail, inputting and maintaining data on deals, conversations, relationships, and pipeline activity.
Track deals from initial conversation through term sheet to investment close, maintaining accurate records throughout the process.
Partner with the GP on their quarterly initiatives and OKRs, building in dedicated thought time, providing reminders, and holding them accountable as a trusted advisor.
Prepare the GP for media and speaking engagements, reviewing content and presentations, suggesting commentary, and ensuring the GP is fully briefed.
Organize dinners and meetings, working directly with vendors on all logistics and building relationships with contacts.
Provide high‑touch support to the GP by proactively thinking about details such as event attire, sending timely reminders, communicating expectations clearly, to ensure they are fully prepared.
Support the Head of IR during the next fundraising phase, assisting with coordination, materials preparation, and stakeholder management.
Qualifications
Previous 4+ years of experience as an Executive Assistant at a venture capital firm, ideally supporting an Investing Partner.
Deep understanding of the venture ecosystem and pipeline events from pitch presentation to final investment.
Strong work ethic and high performance with proven ability to be a strategic partner.
Detail‑oriented and process‑driven with exceptional project management skills.
Self‑sufficient with the ability to work independently and take initiative without constant direction.
Highly responsive with a strong sense of accountability and ownership.
Excellent prioritization skills with the ability to manage competing demands and shifting priorities effectively.
Team player who understands everyone wears multiple hats and is willing to jump in wherever needed.
Tech‑savvy. Excited about adopting AI tools in your workflow and staying current on productivity innovations.
