Job Summary The Vice President of Ambulatory Access & Packard Children’s Health Alliance (PCHA) Patient Access Services plays a critical leadership role in the ambulatory ecosystem at Stanford Medicine Children’s Health (SMCH)/PCHA. Reporting directly to the Senior Vice President (SVP)/Chief Administrative Officer (CAO) of Physician Practice SMCH/CEO PCHA, this executive is responsible for championing and governing efficient and optimal ambulatory access across all SMCH/PCHA services and sites. The position will oversee every aspect of patient access, engaging all patient touch points related to access with the goal of establishing a seamless and coordinated approach for patients, families, clinical care teams, and referring providers to ensure a continuum of care. The Vice President will consistently assess and improve ambulatory access performance and deliver high‑quality services that meet the needs of patients, families, physicians, staff and other stakeholders.
The role encompasses traditional methods and digital transformation across all access touchpoints, planning, organizing and directing ambulatory access operations including patient scheduling, referral management, insurance verification and authorization, and financial due diligence in compliance with federal, state and local regulations. The Vice President also leads organization‑wide initiatives to improve patient access, care, and clinical effectiveness; increase efficiency; optimize throughput; and advance engagement. Collaboration with other vice presidents, leaders within the organization and the SMCH Senior Leadership Team supports the overall mission of SMCH/PCHA.
Essential Functions
Collaborate with the Associate Chief Medical Officer (ACMO) for Ambulatory Services SMCH/Medical Director of PCHA on optimal, efficient, and timely patient access in support of clinical operations and high‑quality care.
Collaborate with Stanford School of Medicine (SOM) chairs, chiefs, physicians, department leaders, and clinical services to improve patient access, referrals, and care coordination.
Support the operations and growth of community partnerships in collaboration with Strategy and Business Development.
Provide strategic direction and oversight of the PASC (Patient Access Service Center) Business Systems Team, promoting patient access and seamless operations through Technology & Systems Support, Training Development & Delivery, Quality Assurance, and Data Analytics.
Oversee the Digital Health team, supporting digital transformation with a focus on the digital front door and ensuring the organization remains current with industry digital solutions.
Develop and lead digital health strategies to enhance and standardize access, care, and patient/family experiences across the entire ambulatory ecosystem.
Accountable for measuring, analyzing, and reporting key performance indicators (KPIs) related to patient access, providing insights and reporting to senior leadership and relevant committees.
Engage partners across the organization to identify barriers to patient access and implement data‑driven operational and technological improvements.
Ensure seamless connectivity and continuity between the ambulatory experience and inpatient or procedural experiences, managing the development of FPO call centers for integrated access services.
Recommend and implement technological improvements to EMR, scheduling, appointment, revenue cycle systems, and digital patient touch points to achieve high levels of end‑user satisfaction.
Serve as the subject matter expert in all aspects of patient access, participating in related committees, vendor access committees, insurance and revenue cycle meetings, and strategic planning and budgeting processes.
Monitors and ensures compliance with federal, state and local healthcare, privacy and access laws and regulations and best practices.
Promote the mission, vision and values of Stanford Medicine Children’s Health and PCHA, maintaining a professional presence and collaborating with external entities.
Oversee budget development and financial management for SMCH and PCHA ambulatory access services, ensuring fiscal responsibility and corrective actions as necessary.
Support and oversee revenue cycle management efforts to enhance financial efficiency and reduce denials.
Collaborate with Strategy, Business Development and Service Lines to develop and support business strategies that foster growth, improve market share, and address community needs.
Develop a culture of financial responsibility across all SMCH/PCHA team members to eliminate fraud, waste and abuse.
Partner with SMCH/PCHA leadership to drive strategic integration and transformation initiatives while maintaining individual business entity integrity.
Utilize Lean methodologies and A‑3 problem‑solving to enhance operational efficiency.
Lead and engage in cross-functional committees to support enterprise‑wide goals and strategic objectives.
Champion a culture of continuous improvement through staff development and engagement.
Perform other related duties as assigned.
Qualifications MINIMUM QUALIFICATIONS
Education: Master’s degree in a work‑related discipline/field from an accredited college or university.
Experience: Ten (10) years of progressively responsible and directly related work experience. Five (5) years substantially similar work experience in a patient access or revenue cycle position and five (5) years of experience managing patient access staff.
License/Certification: Patient Access certification preferred (e.g., CHAM – Certified Healthcare Access Manager). Other relevant certifications acceptable.
Knowledge & Skills: Demonstrated leadership, communication, negotiation, facilitation, and interpersonal skills; proficiency in Microsoft Office (Excel, Word, PowerPoint, Outlook); strong analytical and critical‑thinking abilities; experience with Electronic Health Record (EHR) software; budgeting and financial stewardship; ability to plan, prioritize, direct, and manage multiple projects under pressure; knowledge of regulatory requirements and compliance; experience with Lean and quality improvement methodologies; ability to work independently and as part of a team; confidentiality and data privacy awareness.
