Administrative Assistant III – Roth Staffing (W2/Hourly) Location: San Francisco, CA (Client Site, Market Street) – Contract (potential contract-to-hire).

Base Pay Range: $41.38/hr – $41.38/hr

Responsibilities

Provide general administrative support to senior managers and department.

Extensively manage calendars: schedule, negotiate, prioritize, and reschedule meetings as needed.

Coordinate meetings: arrange rooms, visitor passes, equipment; greet and escort attendees; draft, collect, and distribute supporting documentation and minutes.

Organize complex travel arrangements; ensure necessary paperwork (tickets, visas, itineraries).

Process business expense claims and follow up on reimbursements.

Produce correspondence, reports, and presentations; transcribe and edit documents.

Handle incoming/outgoing mail, email, and telephone messages; serve as backup for other assistants.

Create and maintain lists, files, and databases to improve efficiency.

Manage confidential information; audit records and reconcile discrepancies.

Identify opportunities to improve processes and workflow.

Stay current on internal policies and guidelines; order supplies and handle invoices.

Track, analyze, and compile market or internal information; produce reports using charts and tables.

Provide basic data analysis and present findings.

Train other administrative staff on general duties and offer guidance.

Serve as first point of contact for the team or department, assessing inquiry urgency and directing appropriately; resolve internal/external queries; build relationships with key contacts.

Qualifications

Initiative in identifying issues and recommending solutions.

Effective written and oral communication with a diverse group of associates and senior business leaders.

Sound judgment in resolving complex matters.

Ability to prioritize assigned work and complete tasks in a timely manner.

Professional service orientation, building rapport with internal and external contacts.

Consistent handling of privacy and confidentiality concerns.

In-depth knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint) and relevant software.

In-depth knowledge of department's function and application to work assignments.

Five or more years of administrative assistant experience.

Desired Skills and Experience Additional desired skills include strong analytical abilities, data presentation using charts and tables, experience with travel coordination, and familiarity with internal administrative policies.
