Job Description

Oversees the smooth and effective operations of the Office of the Vice President for Administration / CFO.

Manages the calendar of the Vice President for Administration mitigating conflicting demands and prioritizing allocation of time as necessary.

Proactively monitors incoming email to the VP and other dedicated office/division email inboxes to expedite processing and resolution delivery by determining appropriate parties within the division to take action on submitted requests.

Monitors all incoming communications and proactively directs requests or issues to the relevant parties within the office/division in anticipation of hastening the delivery of services to the needed area(s) with appropriate follow-up as needed.

Serve as the primary point of contact for the Vice President's office to all internal and external constituents offering the highest standard of pro-active customer service.

Coordinates routinely with direct reports to the vice president for information, scheduling, and operational purposes.

Receives, tracks, and monitors status of all requests for information and assistance coming into A&F from entities inside and outside the college.

Prepares material for the Board of Trustee packages and Division reports.

Prepares materials for official correspondence, reports, memoranda and other communications as required.

Develops and oversees the budget for the Office of the Vice President for Administration / CFO.

Leads coordination of division/college response to requests from internal and external agencies covering a variety of issues and areas of college operations.

Maintains appropriate confidentiality of materials and communications.

Provides administrative support and has a strong working knowledge of the procurement process.

Develops and maintains files, records and databases.

Supervise current part-time admin to ensure appropriate work is assigned and completely satisfactorily in furthering the office's service to the division and college as a whole.

Answers telephone calls and provide routine information concerning college programs and activities.

Requirements

Bachelor's Degree or combination of pursuit of degree and relevant work experience.

Administrative experience at senior levels of an organization (VP office and above). Higher ed preferred but not required.

Demonstrated ability managing complex administrative operations operating independently.

Demonstrated strength in communication skills and proficiency in oral and written expression.

Strong interpersonal skills.

Understanding of higher education principles, practices and procedures.

Experience supervising or coordinating part-time staff.

Preferred

Prior experience in a higher education setting is preferred.

Additional Information Position Status: Non-Unit Professional, Full-Time State Funded with Benefits

Hours: 37.5 hours per week

Salary: $65,675 - $82,094 annually commensurate with education and experience

Worksite: Assignments will include all Massasoit sites and additional locations as necessary.
